Legal Operations Manager
Oppenheim + Zebrak, LLP (www.oandzlaw.com) -- a fast-growing, boutique law firm with a nationwide practice handling copyright, anti-piracy and technology matters -- is looking to hire a Legal Operations Manager. The ideal candidate is a team player with strong academic credentials, effective communication skills, keen attention to detail, and the ability to juggle multiple projects simultaneously. Previous office experience required.Job duties are diverse and include providing administrative support to ensure efficient operation of our office. The job involves exercising sound judgment and taking pride in tackling projects in a creative, practical, and value-added manner.Responsibilities:(1) Office ManagementCoordinate, maintain, and manage legal practice management platforms including Office 365, WestLaw, Lexis, and billing platforms.(2) Data Entry, Record Keeping, and Multi-Platform SupportAccurately input, update, and maintain data across internal databasesOrganize and manage electronic and physical filing systemsUtilize and support multiple web-based and software platforms(3) Financial TasksAssist with bookkeeping, including expense tracking and record maintenancePrepare spreadsheets and support basic financial reporting(4) Administrative Support, Office Coordination, and Project SupportManage day-to-day office operations and administrative tasksCoordinate and handle incoming and outgoing communicationsMonitor, order, and maintain office supply inventoryProvide ongoing support to staff across departmentsOrganize and coordinate weekly firm lunches and eventsProvide support for specific projects assigned(5) Team CollaborationCommunicate effectively with team members to ensure smooth workflowsProvide direct support to the Managing Partner and COO primarilyQualifications:The ideal candidate has an undergraduate degree, is a team player with strong organization skills, effective communication skills, keen attention to detail, the ability to juggle multiple projects simultaneously, and the ability to work independently. Strong computer skills (particularly with Microsoft Office and familiarity navigating and working with financial spreadsheets) are a must.2-3 years previous office experience or moreAs an office manager or assistant, or in a related roleMastery of the following programs:Microsoft Office Suite and 365, Adobe Acrobat Pro, SharePoint & Mac OSXAbility to prioritize and multitask while meeting tight or short-notice deadlinesSuperb written and verbal communication skillsDetail-orientation, tremendous organization, and flexibilityPositive attitude and ability to work well in groups or teamsTo apply, please submit your resume and a brief cover letter.
