Sandvik Mining in either Fairbanks, or Juneau, AK is looking for a Branch / Service AdministratorSandvik Mining and Rock Solutions is a business area within the Sandvik Group and a leading global supplier of equipment, tools, services, and technical solutions for the mining industry. The product offering covers rock drilling, rock cutting, rock crushing, loading and hauling and materials handling.The Branch / Service Administrator can be at either one of our Alaska locations, depending on where we find the right candidate!Are you a detail oriented administrative professional with strong time management skills and also have a background in inventory or office management? If you have excellent communication skills and a strong customer focus, Sandvik Mining and Rock Solutions wants to speak with you!Key Performance AreasAs the Branch / Service Administrator, you will be responsible for performing administrative services for the Fairbanks and Juneau, AK locations, which may include office clerical and support services and customer service. As well as being responsible to set up jobs for the workshop, prepare packets for supervisors, and enter, track and expedite all workshop work in process (WIP) orders. You will be responsible for answering customer requests and questions, and will be the first point of contact for visitors to the facility. This role will also support local management's administrative needs, including scheduling of meetings and arranging travel.Additionally, the Branch/Service Administrator will:Answer and direct phone calls and messages within range of knowledge and authorityFollow up on orders as requestedHandle various arrangements, supplies and support for meetings, training classes and other functionsBook travel arrangements and accommodations for visitors, and personnel as requiredOrder office supplies to ensure proper inventoryOrganize minor maintenance and repair of buildingProvide general clerical support including accounts payable/receivable, mail distribution, processing of credit applications and data entryAurora and Sales ToolsEnter warranty sales tools claims and close aurora job upon acceptance or rejection of claim in Aurora softwareAdministrative DutiesOrder vehicle safety equipment for fleetOrder uniforms for field service techniciansOrder tools for field service techniciansOrder office supplies for techniciansAccountingMaintain AP links for orders placed; amend and receive ordersWork with AR to resolve outstanding balancesWork with vendors and customers to be set up in Sandvik ERPFinally, the Branch / Service Administrator will:Secure parts and materials for technician jobsPrepare quote information for parts and service jobsCoordinate with vendors for ordersFollow up with Sandvik internal stakeholders as required to satisfy the requirements of WIPPrepare, quote and invoice jobsVerify and enter technician time into jobsProduce reports of in process, backlog and future jobsWork in Aurora S34 system processingOpen field service jobs for billable work, warranty and jobs for other areas of parts & serviceOpen N00 jobs for new units; PDI, warranty, other work to be performed on the new unitMaintain/track open field service jobsWork Environment:A blended environment including:Industrial/shop‑floor areas (material handling, service bays, rebuild shops, warehousing)Office settingsOccasional outdoor/field conditionsSmall, close-knit team within heavy industrial equipment environmentMinimum Qualifications:2 years’ related experience in office / inventory management systemsHigh school degree or GEDDemonstrated success being independently motivatedSafety consciousAble to communicate professionally and effectively while maintaining a friendly dispositionPreferred Qualifications:College experience / degreeQuick learnerInterested in picking up computer skills, or already has learned a variety of computer programsDetail oriented, multi-tasking personalityTeam player with strong customer focusCompensation: We expect this role to be offered $65,000 to $75,000 annual salaryBenefitsFor immediate consideration, please apply online at www.home.sandvik/career to the Branch/Service Administrator position JO # R0092191.Sandvik offers a comprehensive total compensation package including a competitive benefits package of health, dental and disability insurance, and an outstanding 401(k) retirement savings plan.
