General Job Description We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to the President, the VP of Finance, VPs of Operations, and the VP of HR & General Counsel. This role requires exceptional calendar management skills, discretion in handling confidential information, and the ability to manage multiple priorities in a fast-paced environment. Heavy scheduling and coordination across multiple executives will be the primary focus of this position. The Executive Assistant will also play a key role in supporting executive meetings through notetaking, tracking action items, and ensuring follow-through on deliverables. Key Responsibilities Manage complex and high-volume calendars for five to ten senior executives. Coordinate meetings, including scheduling across internal and external stakeholders, preparing agendas, and arranging meeting logistics. Take detailed meeting notes and track action items and deliverables, ensuring timely follow-up and completion. Manage conference room bookings, virtual meetings (Microsoft Teams), and technology setup. Screen and prioritize emails, calls, and correspondence. Prepare, proofread, and edit documents, presentations, reports, and correspondence. Coordinate travel arrangements and prepare detailed itineraries. Process expense reports and assist with budget tracking as needed. Distribute internal communications and leadership announcements on behalf of executives. Conduct research and compile data to support executive decision-making. Maintain confidential and sensitive information with the highest level of professionalism. Serve as a liaison between executives and internal and external partners. Manage notary or document authentication tasks when required. Support special projects and strategic initiatives as assigned. Minimum Education None Minimum Years of Experience 4-6 Specific Qualifications Qualifications 5+ years of executive administrative experience supporting senior leadership. Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Microsoft Teams. Demonstrated expertise in heavy calendar management and executive scheduling. Strong written and verbal communication skills. Excellent organizational skills with strong attention to detail. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. High level of discretion, professionalism, and confidentiality. Ability to work independently while anticipating executive needs. Strong problem-solving skills and the ability to exercise sound judgment. Ability to read, write, and speak English fluently. Work Environment In-office work environment (not remote or hybrid). Professional office setting with moderate noise levels. Frequent interaction with executive leadership, staff, and external partners. Regular use of computer, phone, and standard office equipment. Physical Requirements Prolonged periods sitting at a desk and working on a computer. Ability to occasionally lift and/or move up to 15 pounds. Frequent use of hands and fingers for typing and operating office equipment. Ability to communicate clearly in person, over the phone, and via video conferencing.
