Job Type: Officer of AdministrationRegular/Temporary: RegularHours Per Week: 35Salary Range: $64,350.00 - $66,000.00The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.Position SummaryReporting directly to the Director of Medical Lung Transplant, Program Manager, and Divisional Administrator, the Administrative Assistant is responsible for coordinating all administrative support functions for faculty in the Medical Lung Transplant Program within the Division of Pulmonary, Allergy & Critical Care Medicine, Department of Medicine.ResponsibilitiesServe as EPIC Superuser: create physician templates, modify faculty schedules, and troubleshoot EPIC-related concernsProvide administrative support and manage calendars/meetings for three physicians and coordinators using iCloud and OutlookScreen and direct incoming phone calls professionally and efficientlyCoordinate logistics for events, including venue and catering arrangementsManage supply orders and coordinate repairs as neededPrepare and provide patients with medical clearance letters, jury duty documentation, and return-to-work lettersReview insurance information and obtain necessary pre-certifications for proceduresMaintain office operations by monitoring and ordering suppliesCollaborate with the Program Manager on various office-related tasksDraft and proofread correspondence and communicationsCoordinate surgical procedures and related documentationScan patient records into EPIC and ensure timely documentationSend provider notes daily or weekly as neededSchedule consultation appointments and manage patient records requestsRequest and mail CDs to sites or patients; upload incoming CDs for provider reviewTriage incoming faxes and manage mail distributionCoordinate clinical schedules for providersPrepare reimbursement reports and track submissionsHandle correspondence from donors and transplant recipientsMaintain and update departmental directoriesPerform additional related duties as assignedMinimum QualificationsBachelor's degree or equivalent education, training, and experienceAbility to manage multiple tasks independentlyExcellent organizational and time management skillsStrong interpersonal and communication abilitiesPreferred QualificationsMinimum of two years of related experiencePrior experience supporting faculty in an academic medical centerOther RequirementsSuccessful completion of applicable compliance and systems training requirementsEqual Opportunity Employer / Disability / VeteranColumbia University is committed to the hiring of qualified local residents.
