Administrative Property Assistant

Job Description Position Purpose: Provides administrative, clerical, and operational support to Community Association Managers and the Division Manager for an assigned portfolio of communities in the Augusta market. This non-exempt position focuses on documentation, customer service, system processing, and observational drive inspections, supporting efficient day-to-day operations. Major Tasks, Responsibilities, and Key AccountabilitiesProvide routine administrative support to Community Association Managers and Division Manager.Maintain electronic records, files, and documentation in the Vantaca system.Prepare, scan, copy, mail, and distribute correspondence and association documents.Process compliance items, architectural requests, and inspection reports in Vantaca.Track invoices, charges, and administrative records as directed.Manage keys, access cards, parking decals, and related inventory.Assist with scheduling amenities, inspections, vendors, and appointments.Conduct monthly driving inspections of assigned communities; document observations and upload reports and photos into Vantaca.Report observed property condition or compliance concerns to assigned Community Association Manager.Provide courteous customer service to homeowners, vendors, and internal staff.Assist with special administrative projects assigned.Compensation: $16–$20 Hourly depending on experienceLocation: Onsite - Augusta, GABenefits: 401(k)Dental insuranceVision insuranceHealth insuranceLife insurancePaid time off, paid holidaysDress Attire: Business Casual per CMA Dress CodeSchedule: Monday through Friday, standard hours 9:00 AM to 5:00 PM (to be determined by Supervisor).QualificationsHigh school diploma or equivalent required.Administrative or clerical experience required; HOA or property management experience preferred.Experience with Vantaca or similar property management software preferred.Proficient in Microsoft Office (Outlook, Word, Excel).Strong organizational, communication, and customer service skills.Valid driver's license with a clean driving history and reliable transportation required for drive inspections.Must pass a background check.
