Operations Coordinator Castro Valley, CA 94546 Schedule: Onsite| Day Shift | 13 weeks| Non-clinical roleShift: Day 5x8-Hour (08:00 - 17:00) Note: MUST be legally authorized to work in the United States. SUMMARY/DUTIES:The Operations Coordinator provides comprehensive administrative and operational support to department leadership and clinical staff within a hospital settingThis non-clinical role serves as the primary point of contact for unit communication, including greeting visitors, managing calls, and coordinating patient flow activities such as transfers and dischargesResponsibilities include maintaining schedules, processing payroll and staffing data, running EHR reports, and ensuring accurate documentationThe role supports regulatory compliance by maintaining records, tracking licensure requirements, and adhering to state and federal standardsAdditional duties include onboarding staff, coordinating meetings, managing supplies and equipment, and supporting the Director with confidential administrative tasks in a fast-paced inpatient environment REQUIREMENTS:High School Diploma or equivalent required; Associate's degree or coursework in Medical Terminology preferredAt least 6+ months of secretarial or administrative experience in a healthcare settingExperience with electronic health records and running reportsExperience with scheduling, staffing coordination, and payroll processesProficiency in KRONOS timekeeping, ANSOS scheduling, and Microsoft Office SuiteTyping speed of 60+ WPM with 90% accuracyStrong knowledge of medical terminologyAbility to maintain confidentiality and support regulatory compliance standardsStrong communication skills with ability to manage calls, inquiries, and coordination across teams Preferred Requirements:At least 2+ years of secretarial or administrative experience in a healthcare settingExperience supporting inpatient or surgical unitsExperience coordinating patient transfers, admissions, and dischargesExperience onboarding staff and maintaining personnel recordsFamiliarity with Title 22 and Joint Commission (JCAHO) regulatory requirementsExperience managing department supplies, equipment tracking, and vendor coordination We are an equal opportunity employer, and we are an organization that values diversity.
