Summary:The primary responsibility of the Scheduling Associate is to maintain accurate install schedules, by incorporating customer requests and availability with consideration to lead time, sequencing, duration, and capacity factors. The Scheduling Associate will work successfully with all internal departments and external vendors to ensure an on-time installation, with clear communication to the customer.Essential Functions:Level I:Forecasts tentative install dates based on construction cycle timesIntakes customer schedule requests through various formats (Portal, Email, Phone call) to establish installation timelinesRationalizes the ability to accept customer schedule requests based on trade sequence and duration, material lead times and labor capacityCommunicates acceptance or alternative date to customerMonitors daily for customer schedule date changesInteracts with external customers, vendors, and internal staff to obtain information needed to facilitate work planning, scheduling prioritization, resolution of technical issues, incorporating changes, and identification of other specific requirementsEnsures that all required daily activities are completed in a timely manner with minimal supervisionFollows instructions and responds to management’s directionTakes responsibility for own actions and keeps commitmentsCompletes tasks on time or notifies appropriate person with an alternative plan of actionUtilizes ERP systems for tracking, information gathering and troubleshootingCommits to extended work schedules when necessary to reach goalsAttends all required meetings and trainingsAdheres to all Company policies and proceduresOther job duties as assignedLevel II:All Functions included in Level I plus:Works with more complex customer accountsAssists with the training of Level I employeesSkills And Qualifications:Level I:High school diploma or general education degree (GED)1 year of applicable job experience preferredStrong written and verbal communication skillsInterpersonal skills to develop and maintain professional working relationships with builders, vendors, subordinates, and co-workersCommunicates effectively with customers, co-workers, and supervisors in a professional and courteous mannerProactively identifies, analyzes, addresses, and resolves problem areas, conflicts, and issuesExhibits sound and accurate judgment, supports, and explains reasoning for decisions, includes appropriate people in decision-making process, and makes timely decisionsStrong organizational skills to ensure adequate tracking systems are utilized to maintain and track all required informationWorking knowledge of internet, spreadsheet, and word process software and order processing systemsLevel II:All Qualifications in Level I plus:2 years of applicable job experiencePreferredAssociates Degree / 2-year Technical SchoolMaterial resource planning and/or production control experience with Systems Application Process (SAP)Bilingual experience preferred, but not required (English/Spanish)Thorough knowledge of all available products used by the Company as it relates to product installationJob CompetenciesBasic technology skills, including MS Office SuiteProfessional level verbal and written communication skills and the ability to negotiate agreements between parties with different perspectives.High level of organizational skills, time management skills, and ability to work effectively in a fast-paced environment to consistently meet deadlinesIf you like working with a growing close knit team and helping home owners design the home of their dreams, come build your career with us!All qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, individual with disabilities, veteran status, gender identity or national origin.
