Role: Healthcare Onboarding Support SpecialistContract Length: June-12/31/2026Location: 50% in-office, in Madison, WIRate: $20.79-$23/hour W2, depending on skills and experienceShift: Core Business HoursPosition Overview:We are looking for a full-time, Patient Onboarding Support Specialist who is passionate about whole-person, whole-family mental health care.Responsibilities:Leads all new members and caregivers through the onboarding process and assists in getting them scheduled for the Initial EvaluationAbility to educate members and caregivers about the client's numerous servicesUtilizing a concierge approach, reach out to members through multiple channels (phone, emails, etc.) to drive onboarding and support tasks for a streamlined experienceCollaborate cross-departmentally to find strategic solutions to member requests or needsA demonstrated ability to operate independently in a fast-paced environmentVerify insurance eligibility information to both new and existing membersIdentify barriers to member enrollment and engage in communication with appropriate teams to resolve technical issues in a timely mannerOther duties as assignedCore Competencies:Customer Engagement: Proficiency in connecting and building rapport with caregivers and ability to communicate the client's services clearlyProcess Management and Coordination: Experience with patient onboarding, member engagement, support processes, scheduling, insurance verification and resolution of various barriersEmpathy and Compassion: Ability to connect with and support caregivers and families during the onboarding processAttention to Detail and Quality Assurance: Detail-oriented with a focus on quality assurance in documentation and a proven knowledge of managing workflowsDigital Health Expertise: Familiarity with digital health environments and Electronic Health Record (EHR) systems with a track record or success in managing client onboarding and engagementMission-Driven and Passionate about Mental Health: A deep commitment and enthusiasm for working in a mission-driven organization focused on increasing access to mental health services for kids, teens and young adultsRequired Skills:A details-driven rockstar, with a ‘knock-it-out-of-the-park’ mentality, keen on delighting members by creating a one-of-kind experienceAbility to independently foster relationships with members and caregiversStrong customer service skills to manage challenging customer expectationsDocumentation and quality assurance processes experienceAbility to learn and utilize new tools and applications effectivelyAbility to work independently and decisivelyPassion for expanding access to mental health careAn experienced digital healthcare specialist with a proven track record managing multiple members through an Electronic Health Record (EHR) workflowSpecific experience in patient onboarding, engagement, and customer service in a digital health environmentMust have experience operating within an Electronic Health Record (EHR) comfortablyVisit office in Madison for up to 20 hours / week (exact days / times flexible) to send physical documentation to clients for neuropsych testing.
