This role is for someone who means it when they say they want to make an impact.
If you're an exceptional administrative professional who takes pride in being the person who makes everything work better - someone who thrives in fast-moving environments, loves solving problems, and sees administrative excellence as a craft - we'd love to meet you. At Rule4, administrative support isn't an afterthought. It's a force multiplier. You'll be a trusted operational partner to our leadership team and a steady presence in our Boulder office, helping an ambitious, mission-driven organization do its best work.
How this role really works
This is not a clock-watching, “do the minimum” role. Some weeks are calm; others require extra energy, judgment, and follow-through. You'll have autonomy, trust, and meaningful responsibility. But you'll also be expected to show up fully when it counts. If you're energized by variety, ownership, and seeing things through because they matter, you'll thrive here.
This role is fully on-site in our Boulder, Colorado office and is not eligible for remote work.
What you'll do
You'll provide high-level administrative and operational support to our executives while also ensuring our Boulder office runs smoothly and professionally. You'll work side by side with a smart, kind, hard-working team supporting clients who are changing the world across healthcare, private equity, manufacturing, utilities, government, outdoor recreation, and more.
Core responsibilities include:
Serve as a trusted operational partner to the Co-CEOs and senior leaders—anticipating needs, removing friction, and enabling leaders to focus on high-impact work
Manage administrative projects requiring confidentiality, discretion, independent judgment, and critical thinking
Own day-to-day office operations, including beverages, snacks, supplies, and overall office readiness
Manage complex vendor relationships and coordinate facility repairs, maintenance, and improvements
Provide on-site support for community and company events, including setup and catering (early evening events ~3–4x/month)
Perform minor accounting and expense-related tasks
Assist with presentation preparation, document formatting, and light design or layout work
Run errands and occasionally visit clients (primarily in the Boulder/Denver area)
Step into new or unfamiliar tasks with confidence and curiosity—you won't be doing the same thing every day
What success looks like in this role
You're not just completing tasks; you're improving how things work. You'll be successful if you:
Take pride in being the person others rely on
Notice details others miss and fix problems before they become problems
Balance urgency with thoughtfulness in a fast-paced environment
Use technology to think, organize, and communicate clearly
Care deeply about quality, professionalism, and follow-through
This is not a stepping stone out of administrative work—it's a role for someone who wants to master it
What you'll bring
A perfectionist's eye for detail and a professional's sense of priorities
Comfort adapting to rapidly shifting needs and frequent context switching
A growth mindset, resilience, and the ability to learn from feedback quickly
Strong written and verbal communication skills with staff, executives, board members, clients, vendors, and partners
Collaborative instincts, emotional intelligence, and a sense of humor
The ability to take feedback professionally—and use it to get better
Deep comfort using technology to work smarter (advanced document formatting, presentation creation, learning new tools independently)
Strong skills in Microsoft Word, Google Docs, and PowerPoint (track changes, styles, templates, formatting)
Experience using instant messaging tools like Slack or Teams as a primary communication channel
Confidence multitasking and re-prioritizing in real time
A genuine love for variety and doing something different every day
A valid driver's license, reliable vehicle, and current insurance
