You are the first voice inbound leads hear, the person embedded in every initial consultation, the one who owns the transaction pipeline, and the operator who helps us build systems that scale.This role is for someone who thrives in a fast-moving environment, thinks in systems, executes in the details, and takes real ownership. You will work directly with the lead agent, the agent team, and our VA and content operations. You are the hub that keeps everything moving.If you have outgrown a pure TC role, want more responsibility without going back into production, and are looking for a team where your work directly drives growth — this was built for you.Responsibilities:Answer inbound buyer and seller calls five days a week — qualify leads, gather key details, and route them to the right agent based on buyer profile and price pointJoin the lead agent's initial consultations as an embedded operational partner — capture every commitment made and own all follow-through the moment the call endsMake real-time lead routing decisions in coordination with the lead agent — you know the team, the pipeline, and the client well enough to direct traffic confidentlyQuarterback 4–8 transactions monthly from contract to close — coordinate with title companies, lenders, inspectors, and all transaction stakeholdersManage all contract timelines and ensure every party is aligned, every deadline is met, and no detail is droppedMaintain proactive client communication through the full transaction lifecycle — pre-contract, under contract, post-close, and ongoing relationshipIdentify operational bottlenecks and build SOPs — you are not just working in the system, you are improving itCoordinate daily across the lead agent, agent team, VA team, and content operation — you are the operational hub, everything routes throughManage the CRM (Follow Up Boss) — lead tagging, pipeline updates, task compliance, and weekly reportingSupport the administrative team with task delegation and execution oversight — nothing falls through the cracks on your watchQualifications:Required Experience100+ transactions coordinated in a TC or real estate operations role within the last two yearsExperience in a real estate team, brokerage, or high-volume operations environmentFamiliarity with Florida real estate contracts and MLS platforms preferred — willingness to learn required.Active daily use of AI tools — this is non-negotiable on our teamDemonstrated ability to manage email, text, Slack, and phone simultaneously without losing accuracy or speedStrong phone presence — you are comfortable being the first voice clients and leads hearTechnical RequirementsDual-monitor home setup or equivalent large-screen configurationMac or Windows — fast, fluent, and comfortable on a keyboardExperience with Follow Up Boss, Dotloop, or similar transaction/CRM platforms preferredQuick learner on new platforms — we adopt tools fast and expect the sameMindset Soft SkillsDetail-oriented and organized — you catch what others miss, and nothing leaves your hands incompleteProactive problem solver — you identify the bottleneck before it becomes a fireTeam-first mentality — your job is to make the lead agent and agents more effectiveComfortable with ambiguity — willing to wear multiple hats while the team scalesCalm under volume — a busy pipeline energizes you rather than overwhelms youTech-forward mindset — you are always looking for a better, faster way to do the workTo apply: Complete all WizeHire screening questions — incomplete applications will not be reviewed.
