Administrative Manager (Project Coordination + Client Communication)

This role is focused on coordinating projects, keeping the team on track, and ensuring client communication is handled consistently and professionally.This is not a purely task-based role. You will be responsible for making sure things move forward, deadlines are met, and nothing falls through the cracks.ResponsibilitiesCoordinate projects and ensure tasks move from start to finishTrack deadlines and follow up with team members to ensure work is completed on timeHelp manage the process of hiring and coordinating Subject Matter ExpertsCoordinate client progress workflows, including scheduling and tracking client meetingsCommunicate directly with clients to gather information and keep projects movingHandle client outreach primarily by phone, with voicemail and email follow-up as neededOrganize and maintain workflows using spreadsheets and internal tracking systemsManage the CEO’s calendar and assist with email communicationDocument key interactions and ensure important details are properly recordedClient CommunicationThis is a relationship-driven business, and communication is a critical part of the role. You must be comfortable picking up the phone and speaking with clients regularly.What This Role RequiresStrong attention to detail with consistent follow-throughAbility to manage multiple moving parts without losing track of prioritiesClear and confident communication, especially on the phoneComfort working with spreadsheets and tracking systemsAbility to learn quickly and take ownership of responsibilitiesAble to figure things out with minimal direction once trainedReliable, organized, and accountable to deadlinesThis role does not require prior experience in financial services. Training will be provided. However, you are expected to take ownership of your responsibilities quickly and contribute to keeping operations running smoothly.Compensation and ScheduleFull-time positionHybrid, but primarily remoteStarting salary of $70,000 per year, with flexibility based on experienceAbout the BusinessThis is a small, well-established business serving a select group of clients with a high standard of care.
