Office Manager Receptionist

Job Description Location: Lynchburg, VADepartment: Dealership OperationsIndustry: Truck DealershipPosition SummaryWe are seeking a professional, organized, and customer-focused Office Administrator / Receptionist to support daily operations at our Lynchburg truck dealership.This position serves as the first point of contact for customers, vendors, and visitors while also providing administrative support and light accounting assistance. Most corporate accounting functions are handled centrally, so this role will focus primarily on dealership-level coordination, customer service, document management, and basic financial tasks.The ideal candidate is dependable, detail-oriented, friendly, and comfortable working in a fast-paced dealership environment.Key ResponsibilitiesReception & Customer ServiceGreet customers, vendors, and visitors in a professional and welcoming manner.Answer and direct incoming phone calls.Manage incoming and outgoing mail, packages, and dealership correspondence.Maintain a clean and organized front office and reception area.Assist customers with basic questions and direct them to the appropriate department.Schedule appointments and support communication between departments.Office AdministrationSupport day-to-day dealership office operations.Maintain office supplies and coordinate vendor orders as needed.Organize and maintain filing systems, records, and dealership documents.Assist with reports, paperwork, and administrative projects.Scan invoices, supporting documentation, and other documents daily.Provide onboarding support when necessary.Assist with employee work-injury documentation and coordination with health facilities and insurance as needed.Ensure office procedures are followed efficiently.Complete additional tasks as requested by department managers.Light Accounting ResponsibilitiesProcess daily deposits, cash recaps, and cash audits.Assist with research and resolution of accounts receivable invoice inquiries.Reconcile and post AMEX and WEX fuel transactions.Assist with accounts payable and invoice tracking.Reconcile petty cash and basic office expenses.Submit dealership paperwork and reports to the corporate accounting department.Assist with title work, purchase orders, or warranty paperwork as needed.Update customer records.Maintain accurate records and support audits or document requests.QualificationsHigh school diploma or equivalent required.Previous office administration, receptionist, or dealership experience preferred.Basic accounting or bookkeeping knowledge preferred.Strong organizational and multitasking skills.Excellent verbal and written communication skills.Proficiency with Microsoft Office, including Word, Excel, and Outlook.Ability to work independently and maintain confidentiality.Friendly, professional demeanor with strong customer service skills.Company Description We are seeking passionate, committed team players to join our team!
