Office Support Specialist

In this role, you will be the face and voice of the company while also serving as a critical administrative support partner across multiple departments. This opportunity is ideal for someone who enjoys multitasking, communicating with people at all levels, and ensuring day-to-day operations run smoothly and efficiently.What You’ll DoAnswer and manage incoming phone calls, directing inquiries appropriately and providing accurate company informationGreet and host visitors while creating a welcoming and professional office environmentCoordinate incoming/outgoing mail, packages, and express delivery servicesMaintain clean, organized reception, meeting, and mail room areasLog, track, and organize incoming requests using internal systemsCoordinate multi-step administrative requests between internal teams and follow up to ensure completionProvide light technical editing support, including formatting, grammar review, and acronym consistency in documents and correspondenceTransfer and organize data accurately across systems, templates, and files while maintaining version controlSet up and maintain electronic filing systems according to company standardsAssist with document preparation, attachments, naming conventions, and administrative reportingSupport internal teams with checklists, logs, and administrative coordinationHandle time-sensitive and regulated documentation with exceptional attention to detailPerform additional administrative and office support duties as neededQualificationsHigh school diploma or equivalent required1–3+ years of front desk, receptionist, or office support experienceExcellent verbal and written communication skillsStrong customer service and hospitality mindsetHighly organized with the ability to multitask and prioritize effectivelyStrong attention to detail and ability to work independentlyProficiency in Microsoft Office and general office technologyPreferred QualificationsExperience with ADA complianceFamiliarity with document management platforms such as SharePoint or OneDriveExperience coordinating tasks across multiple departments or stakeholdersExposure to technical editing or administrative support within engineering, environmental, construction, or technical industries is a plusPhysical RequirementsAbility to sit for extended periods of timeAbility to work on a computer for extended durations with or without corrective lensesWhy Join Us?We believe strong teams build strong businesses.
