Market: ADMINISTRATIVELocation: CINCINNATIReports to: TBDFLSA: ExemptWork Mode: Onsite Monday – Thursday; Onsite optional on FridayEmployment Type: Full-timeAt BHDP, we design innovative and inspiring solutions in architecture, interior design, and experiential graphic design to create more informed design solutions for our clients and communities.Role SummaryThe Executive Assistant is a highly trusted partner who provides proactive administrative and operational support to BHDP’s CEO and other members of the Executive Leadership Team to ensure priorities, communications, and commitments are managed with consistency and discretion. This role coordinates leadership meeting cadence and logistics, prepares materials and follow-up actions, and helps leaders stay ahead of deadlines and key deliverables. Serving as a trusted point of contact for internal and external stakeholders, the Executive Assistant handles sensitive information with professionalism and confidentiality. The position also strengthens firm culture and community presence by overseeing signature employee-engagement events, in partnership with the People Team.ResponsibilitiesPlans and coordinates logistics for Executive Leadership Team and other leadership meetings (meeting invitations and meeting cadence, space, catering, materials, A/V. Prioritizes meeting schedules, deliverables, and deadlines for the Executive Leader(s), ensuring efficient use of time and resources. Prepares the Executive Leader(s) for upcoming events, deadlines, and deliverables to ensure deadlines are met. Completes administrative tasks such as timesheet approvals, expense reports, etc. for the Executive Leader(s). Manages executive calendars and incoming and outgoing communications including emails, phone calls, and correspondence. Prepares meeting materials, agendas, and follow up action items, and coordinates distribution of information as appropriate. Serves as the primary point of contact between the executive team, board of directors, and internal/external stakeholders, prioritizing engagements and meetings accordingly. Handles confidential and sensitive information with a high level of discretion. Nurtures a network of relationships with key clients, prospects, partners, and community partners. Develops and maintains a consistent engagement opportunities with the Executive Leader(s) and the key relationships for the firm. Serve as the liaison between the firm and our sponsored community partners, coordinating community event participation and donations. Coordinate and schedule Senior Leader onboarding, including scheduling travel and hotel arrangements within the first 30 days of employment. Manage employee key milestone celebrations and recognitions, in partnership with the People Team. Lead and oversee the planning of all-office signature employee-engagement events.
