HR Compliance Internship

Legacy Concierge is seeking an entry-level HR Compliance Intern to support Human Resources and Compliance team in a professional office setting. The company provides in-home non-medical home care services and private-pay concierge nursing services. This internship is designed to provide hands-on exposure to HR Compliance, employee file maintenance, healthcare-related personnel documentation, care staff compliance tracking, EHR plus employee file organization, and administrative support within a home care and concierge care environment. The intern will work under the Compliance Manager of the HR team and will gain practical experience in employee compliance workflows, documentation management, training follow up, record tracking, and healthcare adjacent HR administration. This role may involve access to confidential employee records and sensitive company information. The intern is expected to maintain strict confidentiality and follow all company privacy policies, data security, and document handling procedures. The intern may not disclose, copy, remove, or share employee, client, or company records except as authorized by HR. ResponsibilitiesConduct outreach to care staff employees regarding missing or expiring compliance documents. Request updated employee records, including but not limited to: TB test results, physical exam forms, driver’s license, professional license copies, validate professional license, CPR/BLS documentation, training completion records, policy acknowledgments, annual compliance documentation, etc. Update internal compliance trackers to reflect current, missing, pending, or expired documentation. Assist with reviewing employee files for completeness and identifying missing compliance items. Support cleanup, organization, and updating of employee files within the company’s EHR, HRIS, or document management systems.  Assist with organizing and naming uploaded documents according to company file standards.  Help prepare compliance status reports for HR review.  Send approved email or phone reminders to employees regarding outstanding compliance items.  Document outreach attempts and employee responses in designated trackers or systems.  Assist with training compliance follow-up, including tracking completed and outstanding training modules.  Support basic EHR data cleanup projects, such as verifying employee profiles, updating document expiration dates, and flagging incomplete records.  Assist with internal audits of employee personnel files and compliance records.  Maintain confidentiality of employee, caregiver, client, and company information at all times.  Perform other entry-level administrative compliance tasks as assigned by the HR team. Maintain a reliable schedule, arrive on time, and communication scheduling changes according to company policy. QualificationsInterest in Human Resources, healthcare administration, business administration, compliance, or a related field. Current student, recent graduate, or individual seeking entry-level exposure to HR compliance preferred. Strong attention to detail and organizational skills. Professional written and verbal communication skills. Comfortable making phone calls and sending professional email reminders. Ability to handle confidential information with discretion. Ability to work independently and follow instructions, ask questions when clarification is needed. Strong communication, documentation, professionalism, and customer service skills. Proficiency in Microsoft Excel, including data entry and spreadsheet maintenance.  Physical Capabilities  Sit or stand of extended periods. Use a computer, phone, scanner, and office equipment. Review electronic and paper files. Lift or carry office supplies up to approximately 15 pounds. Communicate by phone, email, and in person. Location: La Jolla, CAThis is a 3 month internship Schedule: Monday–Friday from 9:00 AM – 2:00 PMPay: $17.75/hourThis is an excellent opportunity to gain real-world experience in a fast-paced and growing healthcare environment while learning directly from experienced HR and Compliance leaders.
