Exhibits Manager, Meetings & Expositions

General Purpose of the Position
The Exhibits Manager will oversee the planning, coordination, and execution of all aspects related to exhibitors and exhibits for conferences and events. This role will collaborate closely with the meeting manager and sales and sponsorship teams to seamlessly integrate exhibits with overall event objectives and client expectations.
Essential Functions
Plan, coordinate, and execute all exhibit-related activities for conferences and events.
Collaborate with clients to understand exhibit needs and objectives, ensuring alignment with event goals.
Manage relationships with exhibit vendors, negotiate contracts, oversee vendor performance, and outsource vendors for trade shows as needed.
Develop and manage exhibit budgets, including revenue projections and expense tracking.
Serve as exhibitors' primary point of contact, providing timely communication and support.
Coordinate with internal teams to align exhibit activities with overall event objectives.
Provide onsite support during conferences and events, overseeing exhibit setup, teardown, and logistics.
Conduct post-event evaluations to assess exhibit effectiveness and identify areas for improvement.
Collect feedback from exhibitors and clients to inform future exhibit planning and strategy.
Gains trust, credibility and respect with the clients and client board of directors and works effectively with other departments, such as Marketing/Communications and senior management.
Qualifications
BA/BS degree in Business or a related field preferred
Certified in Exhibition Management (CEM) (plus/preferred)
Outside sales & customer service experience required. Experience with sponsorship, exhibition, and advertising sales (a plus/preferred).
Proficiency in creating floorplans for exhibit layouts.
A proven success record is required, with at least 5 years of exhibit experience.
High energy, versatile and multi-task oriented, self-directed, and ability to handle accurately diverse details at one time.
Computer literate with the “Can Do” approach to different and diverse software packages including Word, PowerPoint, Excel, and Outlook, CRM, as well as membership software for associations.
Good communication (written & verbal), reporting and proofing skills.
Must be a positive team player in a challenging and changing environment; includes working with and being dependent upon a variety of personnel.
Flexibility under competing time requirements and changing deadlines.
Excellent focus and a good sense of priorities.
Detail oriented.

Travel may be necessary, up to 20% of the time and may be by travel by air, car, or rail.
