We are seeking a dynamic and highly organized Executive Assistant to join our team and support our leadership with efficiency and professionalism. Duties
Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and transcribing meetings to ensure clarity and accuracy.
Coordinate projects by tracking deadlines, preparing reports, and liaising with team members to facilitate smooth execution.
Organize and oversee office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
Plan and coordinate company events, meetings, and travel arrangements to ensure all logistics are handled efficiently.
Handle multi-line phone systems with professionalism, practicing excellent phone etiquette while directing calls appropriately.
Support personal assistant duties as needed, including managing confidential information with discretion and professionalism.
Skills
Proven experience in administrative roles with a focus on executive support and office management.
Strong organizational skills with the ability to multitask effectively across various responsibilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry tools.
Excellent typing speed combined with transcription skills for accurate documentation of meetings and correspondence.
Exceptional communication skills—both verbal and written—and professional phone etiquette.
Ability to coordinate projects efficiently while managing competing priorities in a fast-paced environment.
Familiarity with office equipment including multi-line phone systems, fax machines, printers, and office filing systems.
Attention to detail in proofreading documents and ensuring accuracy in all communications.
