The project administrator works closely with project managers throughout the lifecycle of a project. Their job entails performing administrative tasks (document management, meeting management, processing project billing, managing project documentation), and maintaining all project documentation.
Responsibilities:
Create a document repository and ensure all required documents are maintained.
Create and maintain a job directory that lists the contractor, owner, architect, subcontractors, and other team members, maintaining it regularly to ensure accuracy.
Prepare and distribute meeting minutes for project and field meetings.
Determine project insurance requirements and acquire the required certificates of insurance to comply with the contract documents (supplying documentation to the client as needed).
Determine, request, and supply the bonds required per the contract documents.
Assist the permitting coordinator as needed with inspections and other documentation.
Maintain project permit documents, including applications, cards, inspection logs, and inspection guides.
Coordinate billing with project managers, reviewing pre-bills for accuracy and schedules for accuracy.
Prepare all AIA, payment requisition, and applications for payment.
Update and maintain the billing and payment status log, and address billing concerns.
Perform the project close-out processes, including final inspections, as-builts drawings, manuals, warranty letters, and other documentation as needed.
Support the project manager as needed.
Other relates as assigned by the Construction Manager.
Qualifications:
Bachelor’s degree in business administration preferred
2+ years’ experience in the construction industry, working with general contractors, project managers, subcontractors, and municipalities preferred

Pay: $56,378.00 - $65,290.00 per year
