OCA ADMINISTRATIVE ASSISTANT BASIC TASKS OF AN ADMINISTRATIVE ASSISTANT: A. The administrative assistant is expected to consistently exhibit love, joy, peace, and spiritual maturity before the students, teachers, and the rest of the school. The administrative assistant is expected to be a student and lover of the Bible; God's only written Word. Active, joyful participation in any staff prayer meetings and school assemblies is expected. It is expected that the administrative assistant would be in whole-hearted agreement with the OCA Statement of Faith and from all accounts and appearance, continually be living a lifestyle that is consistent with a personal commitment to the Lord Jesus, including, but not limited to consistent attendance at a local evangelical church. B. The administrative assistant is to consistently and joyfully demonstrate pride in OCA by his/her work, punctuality, speech, attitude, dress, and attention to duties. A friendly demeanor in greeting guests at the front desk and in all communication with student, staff, parents is the expectation. C. The administrative assistant is tasked with running the front office- including but not limited to the following: a. Greeting guests and ensuring proper visitor protocols are followed. b. Take and return phone calls c. Schedule necessary 3rd party services and maintenance calls d. Communicating with teachers and maintaining schedules e. Maintaining appropriate records including daily attendance, schedules, enrollment information, cumulative file data, report cards/transcripts, testing data, pick-up and drop-off documentation, medical and medication distribution information, emergency contact information, etc. f. Maintain FACTS student information system g. Create family folders for open house h. Receive and account for tuition payments and other money collected through the front office i. Manage pick-up car line changes j. Order supplies necessary for the daily operation of the school k. Be proficient in and utilize word processing apps, spreadsheets, and social media apps. l. Participate in meetings as directed by the head of school m. Assist head of school and administrators in clerical and office-based tasks SCHEDULE A. This is a 12-month position with the following schedule B. The administrative assistant's daily schedule will be from 7:30 A.M. to -3:30 P.M. in the office from August 1 through May 31st. The daily schedule generally follows the school calendar with two exceptions: summer hours (see below) and the periods between Aug.1st and the start of school and between the last day of school and May 31st. The later exception periods will be 7:30-3:30, 5 days/wk with the exception of observed holidays. C. Summer hours will be from 9:00 A.M to 1:00 P.M, Monday- Thursday during the months of June and July D. The office will be closed for business the first week of July. This will be paid time off for the administrative assistant E. The administrative assistant will have an additional 5 days of paid time off to be approved by the Head of School. F. The administrative assistant must adhere to this schedule unless otherwise noted by the Head of School.
