Job Description Position Title: UPDOX Communication Coordinator (Fax Communication Coordinator)Reports To: Chief Administrative OfficerFLSA Status: Non-ExemptPosition Type: Full-TimeWork Schedule: Monday – Friday – 8:30 a.m. - 5:00 p.m. or 9:00 a.m. - 5:30 p.m.Direct Reports: NonePosition Summary:Updox is a healthcare communication platform for out-of-hospital healthcare providers that offers HIPAA-compliant telehealth, fax, texting, forms, and reminders, as well as other communication all within one space.The coordinator will monitor and process all incoming communications (faxes, scripts, etc., and route them to the appropriate department.Essential Duties and Responsibilities:Monitor and process all incoming faxes and communications during the same day.Create pre-orders based on incoming scripts so that patients receive notification to call the scheduling team to make an appointment.FAX physicians if clinical notes are missing or more detail is needed for a script.Route fax requests to appropriate department (i.e., billing, medical records, and locations).Perform related duties as assigned by supervisor (i.e., back up other team members as needed and assigned by immediate supervisor/director).Maintain compliance with all company policies and procedures.QUALIFICATIONSFormal Education:High School Diploma or equivalent.Related Work Experience:Minimum of 2 years in a medical administrative office setting handling patient charts and knowledge of HIPAA and other compliance protocols is preferred.Licenses or Certifications: N/ASpecialized Knowledge/Skills:Knowledge of medical insurance terminology such as guarantor, primary, group ID and subscriber ID.Excellent typing (minimum 40 WPM) and computer usage skills, including Microsoft Office (Word and Excel).Competencies:Customer service focus – ability to relate with people of diverse backgrounds, and provide excellent customer service and solutions to problems.Attention to detail.Sense of urgency.Excellent organizational skills.Ability to work independently, prioritize and perform several tasks without losing concentration.Professional and efficient verbal and written communications.Promote teamwork by working collaboratively with colleagues and management to achieve shared goals.Physical Requirements:Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards; including meeting qualitative and/or quantitative productivity standards, and maintain regular in-person punctual attendance.Must be able to talk, listen and speak clearly on the telephone and in person with co-workers, patients, customers, and other visitors.Light physical effort. Requires long periods of sitting.
