The Executive Assistant provides high-level administrative support to senior executives, primarily dedicated to the TCP team. In addition to supporting executive leadership, this role also contributes to the smooth day-to-day coordination of Tishman's NYC office.This position requires strong judgment, professionalism, and discretion in supporting senior leadership, along with a collaborative approach to assisting with general office operations as needed.While not a receptionist role, this position's workspace may be located withing the reception area and at times, may serve as the first point of contact for visitors—offering a polished and professional impression of Tishman.This role is ideal for a highly organized Executive Assistant who thrives in supporting senior leadership while also contributing to the smooth day-to-day coordination of the office.Key ResponsibilitiesExecutive Support (TCP Senior Executives):Manage complex calendars, scheduling, and meeting coordination.Arrange domestic and international travel, including itineraries and logistics.Prepare, edit, and format presentations, reports, and meeting materials.Process expense reports and invoices in a timely manner.Track and follow up on action items, deadlines, and priorities.Serve as a trusted gatekeeper, handling sensitive information with discretion.Office Services Support:Welcome visitors and help maintain a professional and well-organized office environment.Assist with office operations such as supply ordering, vendor coordination, and conference room scheduling.Support mail, packages, and courier services.Assist with company meetings and office events.Monitor the main company voicemail and ensure messages are routed appropriately.Provide backup administrative support across teams as needed.Qualifications5+ years of administrative experience, including direct support for senior executives; financial services, investments, or real estate experience preferred.Strong organizational skills with the ability to balance multiple priorities in a fast-paced environment.Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with expense reporting and CRM systems a plus.Excellent written and verbal communication skills.Professional demeanor with exceptional interpersonal skills.High degree of discretion, reliability, and confidentiality.Positive, resourceful, and team-oriented mindset.Salary: Up to $115,000 per year based on experience.
