Appalachian Mountain Project Access is a 501 (c) (3) nonprofit organization that strives to eliminate health care gaps by providing meaningful access to health care through a coordinated system of primary, specialty, ancillary, hospital, supportive, and social services for the low income, uninsured, and medically needy residents of upper Northeast Tennessee and Southwest Virginia.
Position Description
The Referral Specialist position for Appalachian Mountain Project Access functions in a non-profit, non-clinic setting and has the responsibility of providing an advanced level of referral processing to support the referring provider, patients and staff. The Referral Specialist will receive program referrals, conduct pre-screening calls with potential patients and schedule eligibility intake appointments. This person will give a positive first impression of the organization using effective communication that supports the mission of the organization.
Job Duties
· Sort and enter new referrals in database
· Track referrals for reporting
· Maintain organization of electronic process of referrals
· Manage, sort and distribute incoming e-faxes
· Conduct pre-screening phone calls
· Schedule enrollment appointments
· Clearly communicate with patients and medical providers regarding the referral process
· Close and scan referrals
· Aid in database clean-up
· Help to create and update any process and training documents
· Assist in cross training other staff members, interns, and volunteers on Referrals processes
· Assist with answering the main phone line, directing callers to appropriate destinations, answering general inquires, and providing information
· Assist with back up coverage for reception as assigned
· Assist with other activities as assigned by directors.
Job Expectations
The Referral Specialist will be able to:
· Navigate Microsoft Office products such as Outlook, Word, Excel, Power Point; an email account and shared calendar
· Operate office equipment such as a copier/printer/scanner, postage machine, etc.
· Make appropriate and competent detailed notes into a database system.
· Be professional as well as get along with a small office staff.
· Communicate and interact with medical providers and staff as well as patients and patient families.
· Collaborate and communicate with patients, providers, community members, and other AMPA staff with respect, empathy, genuineness, and specificity.
· Maintain confidentiality of all patient data and organization operations/strategic planning.
· Adhere to a Code of Ethics and perform in keeping with the organization's Policies & Procedures, Employee Handbook, and all applicable laws/regulations.
· Have or gain knowledge regarding medical terminology, health insurance programs, and community resources.
· Maintain empathy while establishing and preserving appropriate boundaries.
· Be willing to learn, teach, and advocate for the organization's mission, vision, and various program aims.
· Be punctual, dependable, flexible and able to contribute to tasks and projects that may not necessarily fit within the above job description.
Job Type
Full Time -- 37.5 hours per week
Work Schedule
Monday through Friday 8:30-5 with hour lunch break

Job Qualifications
· Associate’s or bachelor’s degree in related field
· Prior experience with medical referrals or in a related field (experience may be considered in lieu of degree)
· Spanish-Speaking Bi-Lingual desired
· Experience working with underserved populations
· Excellent written and verbal communication skills
· Strong Organizational skills
· Solid Critical Thinking Skills
· Robust electronic database management experience
· Competency in Microsoft applications including Word, Excel, and Outlook
· Good time management skills
· Experience with administrative and clerical procedures
· Must be able to adapt to stressful and quick changing environment
· Must pass background check and drug test
· Some travel may be required
