Join us and be part of a culture where your success builds our success.”Position Overview:The Construction Project Coordinator coordinates project administration, documentation, and schedule input tracking so construction projects stay organized and leaders have reliable visibility. This role maintains project files and trackers (including RFIs/submittals where applicable), supports procurement and change visibility, and helps drive clean closeout documentation.Probationary Period: This position is subject to a 90-day probationary period. During this time, performance and fit within the organization will be assessed. Employment is at-will, meaning either the employee or the employer may terminate the employment relationship at any time, with or without cause, and with or without notice, during or after the probationary period.Key Responsibilities:Project Administration & Documentation: Maintain organized project files, contracts, and required documentation; keep the Construction Project Admin Tracker current and complete.Meeting / Site Coordination: Schedule and coordinate meetings, site walks, and key touchpoints so communication and decisions stay timely and documented.RFIs, Submittals & Document Control: Track RFIs, submittals, and key customer/partner communications (as applicable). Ensure all project information is accurate, current, and accessible to the team.Procurement Support: Obtain quotes, issue purchase orders as directed, and track deliveries to ensure timely receipt of materials and services; escalate gaps early.Schedule Inputs & Milestone Tracking: Maintain the Schedule Inputs and Milestone Tracker by collecting updates from the Superintendent, subs, and vendors; surface schedule risks and missing information early.Change Visibility / Status Updates: Support the Account Executive and Director of Construction by capturing scope changes, approvals, and documentation in the system. Assist with preparing internal/client status updates tied to milestones and constraints.Closeout & Travel Support: Maintain the Closeout Documentation Checklist per job and coordinate return visits/travel logistics for field personnel as needed to close work cleanly.Preferred Qualifications and Skills:Experience: Minimum of 3 years of experience in construction project coordination, project administration, or a related field.Strong organizational and multitasking skills, with the ability to manage multiple projects simultaneously.Excellent written and verbal communication skills.Ability to work independently and collaborate with various teams and stakeholders.Proficiency in project management software and Microsoft Office Suite (Word, Excel, PowerPoint).Strong attention to detail and ability to maintain accurate and organized project records.Knowledge of procurement processes and experience with purchase orders and vendor management.Education: High school diploma or equivalent required; bachelor’s degree in business, project management, or related field preferred.Work Environment:Primarily remote/office-based with periodic travel to job sites as needed.Must be able to work in a fast-paced environment, managing multiple projects simultaneously.May require evening or weekend work depending on project timelines.
