Parks Program Administrator
We are seeking a skilled and creative individual to lead the administrative business functions and duties for the Resource Management and Natural Resources Divisions. This includes supervision of daily administrative staff and activities, Maximo database development, auditing, testing, training and maintenance, emergency preparedness, budget monitoring, report preparation in Maximo and JDE. This position coordinates with the Risk Management program to include employee training and department compliance with OSHA, WISHA and site inspections of park facilities. If you are a collaborative problem solver and customer-service centric, apply today and join our team!Oversees the Parks Department Risk Management program including coordination with the Risk Management Department.Ensures employee training and compliance with OSHA, WISHA, and site inspections of parks and facilities.Supervises daily administrative activities of the Resource Management and Natural Resource Divisions including staff supervision (timekeeping, utility bill reconciliation and auditing).Maximo Application Suite (MAS) database development, auditing, testing, training and maintenance.Budget monitoring and reporting.Writing and running reports in Maximo Application Suite (MAS), JD Edwards (JDE), and SQL.Provides technical support and training to employees using MAS and JDEGrant writing and follow-up monitoring of Emergency Management grant requests.FEMA Training/tracking requirements for Department to ensure compliance.Interjurisdictional Contract development for Emergency Operation support between King County, Red Cross, and Seattle/King County Public Health.Prepares Emergency Management updates of Department standard operating procedures in coordination with the EOC.Overall administration for emergency preparedness for Department operations.Supervision Received and Exercised:Works under general supervision.Supervise support staff and/or volunteers.Position requires the ability to exercise influence with positions and people where no formal supervisory relationship exists.Knowledge, Skills, Abilities and CompetenciesAbility to lead by example and develop a collaborative atmosphere for assigned staff.Ability to communicate effectively with customers, co-workers, and the general public both verbally and in writingAbility to establish and maintain effective working relationships with other governmental jurisdictions, contractors and other City staffThorough knowledge of MAS (Maximo Application Suite)Ability to obtain thorough knowledge of the city's purchasing guidelinesExpertise using JDE, Excel, Word, Outlook and the ability to assist others with these programsKnowledge of performance management principlesAbility to plan, organize and monitor activities according to priorities and established schedules and deadlinesAbility to obtain necessary FEMA certificationsKnowledge of emergency management operations (EOC) and emergency shelter management.Knowledge of FLSA and union staffing payroll for non-exempt staff.Ability to effectively lead a team in providing services across a wide spectrum of diverse employees, customers and park users.Exceptional customer service skills for both internal and external support.Valid State Driver's LicenseBackground Check requiredEducation, Experience, and Other RequirementsGraduation from an accredited four-year college or university in business, public administration, Parks and Recreation Administration or related fields.Five (5) or more years of professional related experience supervising administrative business functions, preferably in the public sector.Three (3) to Five (5) or more years in the administration of a Computer Maintenance Management System (CMMS), preferably working with MAS (Maximo Application Suite).Or any equivalent combination of education, experience and training that provides the required knowledge, skills and abilities.Prior experience supervising administrative support staff preferred.Two (2) or more years working with Microsoft Power BI, preferred.Current valid state driver's license and ability to operate a city vehicle as required.Physical DemandsThe physical demands and work environment described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
