Job Summary:
The Client Services Coordinator plays a critical role in supporting the successful execution of retail maintenance, replenishment, fixture, and technology programs for key client accounts. This position serves as an operational backbone to the Client Services team by ensuring the accurate processing of orders, inventory management, reporting, client communication, and cross-functional coordination required to deliver exceptional service.
The ideal candidate is highly organized, detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced environment. This role acts as a liaison between clients, account teams, operations, warehouse teams, and third-party vendors to ensure projects are executed efficiently, accurately, and in alignment with client expectations.
SCOPE & ACCOUNTABILITY
The Client Services Coordinator is responsible for supporting daily operational activities associated with client service delivery and program execution. This role directly contributes to client satisfaction by maintaining accurate data, facilitating timely communications, monitoring inventory levels, supporting order fulfillment activities, and ensuring reporting integrity.
The position is accountable for:
Maintaining accurate client and inventory records
Supporting the timely processing and execution of client requests
Coordinating information flow between internal departments and external stakeholders
Monitoring ongoing projects and communicating status updates
Identifying operational risks and proactively escalating concerns
Supporting financial and operational reporting requirements
Contributing to continuous improvement initiatives that enhance client experience and operational efficiency
KEY RESPONSIBILITIES
Client Support & Communication
Serve as a primary support resource to Client Services Managers and account teams.
Respond promptly and professionally to client inquiries and requests.
Maintain accurate account information and supporting documentation.
Assist in preparing client reports, presentations, and operational summaries.
Support client meetings through documentation, action tracking, and follow-up activities.
Order Management & Program Coordination
Process client work orders accurately and within established service-level expectations.
Coordinate project activities with Operations, Warehouse, Procurement, and Field Service teams.
Track project milestones and proactively communicate schedule changes or risks.
Monitor open orders to ensure timely completion and resolution.
Support execution of special projects, rollouts, and nationwide deployment initiatives.
Inventory Management
Maintain inventory databases and inventory-related reporting.
Monitor inventory levels and identify replenishment requirements.
Investigate inventory discrepancies and coordinate corrective actions.
Track movement and consumption of service parts, replacement components, and client-owned inventory.
Assist with inventory audits and reconciliation activities.
Reporting & Data Management
Generate and maintain routine client and operational reports.
Ensure accuracy and integrity of information contained within company systems.
Track budget-related information and project activity as directed.
Maintain documentation supporting account performance and operational metrics.
Analyze data trends and highlight potential concerns or opportunities for improvement.
Issue Resolution
Identify missing, damaged, delayed, or incorrect materials.
Coordinate investigation and resolution activities with vendors and internal teams.
Escalate critical service issues appropriately and in a timely manner.
Support root-cause analysis and continuous improvement efforts.

QUALIFICATIONS
Education
High School Diploma or GED required
Associate's Degree in Business Administration, Supply Chain, Operations, or related field preferred
Experience
2–4 years of experience in client services, account coordination, project coordination, customer service, or related operational support roles
Experience supporting retail, construction, fixture deployment, field services, logistics, or inventory programs preferred
Experience working directly with client-facing communications preferred
Technical Skills
Intermediate to advanced Microsoft Excel skills
Proficiency with Microsoft Word, Outlook, and Teams
Experience using ERP, inventory, CRM, project management, or ticketing systems preferred
Ability to analyze operational reports and identify discrepancies
Strong data-entry accuracy and reporting capabilities
