Client Experience Coordinator

This Role Runs the Room At Reboot U, the client experience doesn't start when a therapy begins, it starts the moment someone walks through the door. As our Client Experience Manager, you're the operational anchor of the clinic. You set the tone for every client interaction, keep the floor running, and own the financial accuracy of every transaction that happens here. This isn't a passive front desk role. You'll direct the flow of the clinic, manage a support team, handle client payments and billing with precision, and serve as the primary point of accountability for the client-facing experience from open to close. What You'll Own Day-to-Day Greet every client with professionalism and warmth - you're the first and most consistent face of Reboot U Manage all client scheduling, rescheduling, and appointment confirmations Educate clients on our services and guide them toward the options that best serve their goals Process all client payments and transactions with accuracy Handle all billing questions and discrepancies Maintain accurate billing communication with the Office Manager Identify and recommend additional services and products in alignment with each client's care plan Brief the full staff team on daily workflow at the start of every shift Direct Wellness Client Concierge team members on floor coverage, client flow, and priorities as conditions change throughout the day Support daily opening and closing procedures, ensuring the clinic is ready before the first client and properly secured at close Maintain a clean, organized, and professional front desk environment throughout the day Who We're Looking For The right person for this role leads naturally, communicates clearly, and takes accountability without being asked.
