In partnership with the Director of Student Recruitment & Enrollment, this role leads the execution of outreach strategies, manages key enrollment processes, and delivers a high-quality, responsive experience for prospective families from initial interest through registration.This individual is responsible for coordinating and implementing recruitment initiatives, maintaining accurate enrollment systems and data, and ensuring timely follow-through on all family communications and enrollment milestones. The Coordinator serves as a key point of contact for families, building trust and guiding them through the enrollment process with clarity, urgency, and care.In addition, this role supports Excel Academy’s benefits access efforts by connecting families to local resources and strengthening partnerships with community-based organizations.Starting Salary and Start Date: $45k - $68k, commensurate with experience. The ideal candidate is able to begin the week of July 13, 2026.Your ImpactStudent EnrollmentSupport And Execute Excel’s Student Enrollment Process, IncludingManage day-to-day enrollment operations, including maintaining the enrollment work plan, tracking progress toward enrollment goals, and regularly reporting on status and key milestonesServe as the primary point of contact for families throughout the enrollment and registration process, delivering a warm, responsive, and high-quality experience from offer through onboardingManage and maintain all enrollment data systems, including SchoolMint and internal trackers, ensuring accurate tracking of offers, waitlists, and registration statusCollect, review, and track all required enrollment documentation (e.g., proof of residency, enrollment forms), ensuring completeness and compliance with state and school requirementsSupport families in completing enrollment requirements via phone, virtual, and in-person support, including assistance with forms and document submissionEnter and verify student enrollment data in PowerSchool, ensuring accuracy, completeness, and alignment across systemsMaintain and update enrollment materials, including forms, communication templates, and family-facing resourcesServe as the liaison between Excel and prior schools to obtain student records and relevant educational historyPrepare and share student information and records with school-based teams to support a strong start for newly enrolled studentsPartner with school teams to support enrollment events, including Open Houses and onboarding experiences, and ensure a smooth transition for incoming students and familiesStudent RecruitmentSupport and execute Excel’s student recruitment strategy to build a strong pipeline of prospective families, including:Coordinate and execute recruitment events, including Open Houses, information sessions, school tours, and community-based tabling opportunities in partnership with local organizationsServe as a front-facing ambassador of Excel Academy by responding to family inquiries promptly and professionally, and providing clear, accurate information about the application and enrollment processConduct school tours and family meetings that effectively communicate Excel’s academic model, outcomes, and community experienceSupport the development and execution of recruitment and marketing efforts, including digital (website, social media) and in-person strategies to drive applications and increase enrollmentCollaborate on the creation and distribution of recruitment materials, including flyers, brochures, and outreach communicationsManage the enrollment lottery process, including preparing timelines, ensuring system readiness, auditing application data for accuracy, and supporting family communication leading up to and following the lotteryEnter and manage application data in SchoolMint, including paper applications and data corrections, ensuring accuracy and completenessConduct regular data quality audits of applicant information and resolve discrepancies in advance of key enrollment milestonesMaintain accurate and up-to-date records of prospective students and applicants, ensuring strong data integrity and confidentialitySupport the Director of Student Recruitment & Enrollment with additional outreach, partnership, and pipeline-building efforts, including community engagement and follow-up with prospective familiesBenefit AccessBenefitsSupport the implementation and growth of Excel Academy’s Benefits Access program to ensure families have equitable access to community resources and services, including:Support outreach efforts to families for Supplemental Low Income (SLI) eligibility, including assisting with application completion and follow-up to maximize participation and accuracyBuild and maintain relationships with community-based organizations across Massachusetts and Rhode Island, developing a strong network of partners and understanding available programs and services for familiesCoordinate and support communication of community resources to families, ensuring access to relevant supports such as health, housing, food, and after-school programmingLead the planning and execution of a community resource fair, bringing together local partners and Excel families for an event focused on connection, access, and resource sharingSupport the scheduling and coordination of family workshops and events (e.g., Know Your Rights sessions, MassHealht/EBT workshops) in partnership with community organizationsMaintain up-to-date records of partnerships, resources, and family engagement to inform ongoing outreach and program improvementQualificationsBachelors degree preferredSpanish & English fluency requiredExperience in marketing, communications, or a related field (or equivalent experience) preferredPrevious experience in student recruitment, admissions, or a related field is preferredExperience working with students and families in a public or charter school setting and/or demonstrated experience in customer service;Strong interpersonal and communication skills, with the ability to effectively engage with diverse audiences, including students, parents, and community membersA detail-oriented approach to data entry and data management;A willingness to learn more about technology and data managementExcellent organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously and meet deadlinesThe ability to focus and thrive in a events and enrollment activitiesSpecial Work RequirementsSome evening and weekend work may be required.Field work is a critical part of this position. The position will require regular travel between school sites.
