About UsEvent Source Solutions (ESS) is a full-service event rental and décor company serving corporate clients, DMCs, hotels, and planners across Central Florida. Our sister division, Floral Expositions (FE), provides plant, floral, and holiday décor execution for conventions, trade shows, sporting events, festivals, and corporate activations nationwide. Together we operate out of a 30,000 sq ft Orlando facility. We're growing fast and need a detail-oriented, dependable person to help keep the office and our accounts running smoothly across both divisions.The RoleWe're looking for an Office Administrator who will be the backbone of day-to-day operations for both ESS and FE — managing the office, supporting our invoicing process, and staying on top of collections across both businesses. This is a hands-on role for someone who takes ownership, doesn't let things fall through the cracks, and is comfortable being the point person for both internal operations and client-facing financial communication.What You'll DoOffice Management: Keep the office running — handle incoming calls, correspondence, supplies, vendor coordination, and general day-to-day administrative operations for both ESS and FEInvoicing: Prepare, send, and track client invoices accurately and on time across both divisionsCollections: Follow up on outstanding balances, communicate professionally with clients on payment status, and help keep receivables current for both ESS and FEPayment Processing: Collect and record payments, reconcile transactions, and maintain accurate financial recordsAdministrative Support: Assist ownership and both sales/operations teams with scheduling, documentation, and general office coordination as neededWhat We're Looking ForPrior experience in office administration, bookkeeping, or accounts receivable/collections — event industry experience a plus, not requiredComfortable juggling two brands/divisions and keeping their invoicing, clients, and records straight without mixing them upStrong organizational skills and follow-through; you notice when something's been sitting too long and you chase it downComfortable handling money and having direct conversations with clients about paymentProficiency with basic accounting/invoicing software, Microsoft Office/Google Workspace, and CanvaProfessional, clear communicator — written and verbalSelf-starter who can manage a full plate without close supervisionCompensation & BenefitsPay: $42,000–$55,000/year ($20–$26/hour), based on experienceSchedule: Full-time, Monday–Friday, 9:00 AM–5:00 PM, occasional weekends requiredHealth Insurance: Health, vision, dental, and life insurance offeredPTO / Holidays: Paid time off and paid holidaysRetirement / 401(k): 401(k) offeredDetailsFull-time, in-office role at our Orlando facility
