Equipment & Fleet Maintenance Coordinator

Role and ResponsibilitiesFleet: · Keep all trucks current on maintenance, conduct monthly inspections, update and maintain vehicle records including licensing, insurance and files. · Coordinate and schedule DEQ inspections and registration renewals. · Research and maintain list of approved vendors for equipment and vehicle related expenses. · Obtain quotes for vehicle repairs and send to Operations Manager for approval. · Coordinate approved vehicle repairs including drop off and pick up if needed. · Manage the process of purchasing new vehicles and returning old vehicles. · Maintain list of eligible drivers and add/remove from insurance as authorized. · Perform or coordinate preventive vehicle maintenance and basic repairs as needed. · Track fuel expenses and maintain accurate records. · Develop and enforce safety training programs for drivers and maintenance personnel. · Troubleshoot, diagnose issues and implement appropriate solutions. · Maintain and update vehicle Inventory list on a regular basis. · Maintain and update vehicle key inventory and storage box. · manage vehicle tracking and telematics systems. · Manage truck sign-out paperwork, ensuring accurate documentation of vehicle assignments, usage, and returns. EQUIPMENT: · Maintain all equipment in good working condition. · Perform preventive maintenance and basic repairs as needed. · Stencil equipment with logo. · Create and submit monthly equipment spending budgets. · Obtain authorization for purchase of new equipment from Operations Manager and/or Owners. · Obtain and evaluate Traffic Control Plans on upcoming jobs to determine equipment needs. · Order extra equipment if needed for current and upcoming jobs. · Inform flaggers of extra equipment needs and load assigned trucks if necessary. · Maintain and update Equipment Inventory list on a regular basis. · Ensure all equipment is picked up, delivered and returned if rented. · Deliver and pickup equipment from jobsites. Assist flaggers with equipment set ups & tear downs if needed. · Conduct equipment checks on field employees to ensure compliance with MUTCD (Manual on Uniform Traffic Control Devices) guidelines. · Review truck inventory sheets for extra equipment and ensure proper documentation. · Facilitate drop-off and off-hour equipment delivery when needed to meet job requirements. Qualifications and Education Requirements · Must possess a current, valid driver’s license and maintain insurability to operate company vehicles. · Basic understanding of vehicle maintenance practices, including the ability to perform basic repairs and preventive maintenance on equipment and vehicles. · Familiarity with traffic control equipment, ensuring compliance with industry standards such as MUTCD (Manual on Uniform Traffic Control Devices). · Proficiency in operating both manual and automatic transmission vehicles. Preferred Skills Excellent organization skills - high attention to detail. Strong communication skills – both written and verbal. Adaptability - working conditions and schedule may vary. Technology skills – ability to work with various devices and applications such as smart phones, tablets, PC’s, GPS systems, MS Office applications, Email, etc. · Flagger certification card · Min of 1yr Flagging experience. Additional Notes Working Conditions & Physical Demands · This position will be performed in various indoor and outdoor conditions. It may require occasional field work with environmental working conditions that will vary in terms of weather, surfaces, lighting and occasional exposure to construction vehicles and equipment. · The position requires the ability to sit, stand, walk, maintain balance, and lift up to 50 lbs for certain periods of time. Ability to perform repetitive tasks such as stretch, turn, twist, bend and reach overhead. This position reports to Operations Manager.
