Job Overview:
Reef Private Equity is seeking an interior design Purchasing Manager to join our team. This role offers a unique opportunity for professional growth and development, as the Purchasing Manager will work under the Director of Design to oversee all aspects of purchasing while implementing best practices for an efficient purchasing process. As the Purchasing Manager, you will play a valuable role in keeping key project stakeholders informed about purchasing activities and progress toward achieving the company's strategic and financial objectives. Our ideal candidate will have a minimum of five years of experience in interior purchasing, with a proven track record of success in a similar role.
Responsibilities:
Establish a communication cadence with designers, the Project Controller(s), and the financial and leadership teams regarding the purchasing pipeline, status, and payment schedule.
Collaborate with the Project Controller(s) on financial reporting.
Participate in meetings with the designers to assess project scope and strategize on the logistical aspects of procurement.
Assists the Director of Design in collaboration with the designers related to Furniture, Fixtures, and Equipment (FF&E), ensuring seamless coordination. Provide oversight over product selections and ensure custom furniture shop drawings maintain quality standards.
Oversee and effectively communicate the entire ordering process from acknowledgment to final delivery and installation, including monitoring designers' and/or vendors' shipping, receiving, and storage.
Review and approve proposals and/or purchase orders prepared by designers and/or third-party purchasing agents.
Cultivate and sustain strategic vendor relationships on behalf of Reef, maintaining a database of interior vendors.
Conduct supplier research and ensure compliance with internal procedures, to facilitate smooth purchasing operations.
In coordination with the Director of Design, work with designers to resolve product availability issues, reselections, and changes.
Analyze initial furniture budgets, schedules, and contracts to strategize shipping, delivery, installation logistics, insurance requirements, and project timelines.
Provides regular updates to the Director of Design regarding project status and purchased items.
Collaborate with the accounting team to manage budgets, including reconciliation during the purchasing process and at project completion, to generate final project reports.
Assist Project Controller(s) in preparing financial reports, processing payments for purchased goods, and monitoring FF&E fund usage, which includes verifying updated FF&E costs against the original approved budget, to ensure efficient financial management.
Requirements:
Bachelor's degree in Supply Chain Management, Business Management, or a closely related field or a similar role with equivalent work experience.
Proficiency in purchasing software systems would be ideal.
Skilled in developing processes to implement streamlined systems and communication channels, optimizing the specification and purchasing process, and reducing errors.
Able to establish, negotiate, and manage budgets and schedules in collaboration with the project team, designers, and vendors to ensure purchased goods are received and installed on time and budget.
Able to effectively manage shifting priorities to meet tight deadlines while ensuring positive internal and external relations.
The ability to review and advise on custom furniture design is preferred.
Established relationships with high-end manufacturers, galleries, work rooms, receiving houses, freight, delivery, and installation companies are preferred.
