Assistant Administrator/ marketer

PERFORMANCE EXPECTATIONS: The Assistant Administrator plans, coordinates, and monitors the Seniors Helping Seniors® in-home senior care program. The Assistant Administrator is instrumental in establishing working relationships with referral sources and generating interest in our services from qualified Receivers (clients) who want to remain independent in their own homes. The Assistant Administrator will retain long-term, quality customers by executing sales procedures, being knowledgeable about all services and community resources, and following all SHS procedures so that customers' needs and expectations are met or exceeded. In addition, the Assistant Administrator will assist with converting "prospects" and “applicants” into "Receivers" and "Caregivers," respectively, through the implementation of an orchestrated and balanced sales process to assure that the company sales goals are met or exceeded. The Assistant Administrator performs and manages daily business operations for the agency while ensuring compliance with state regulations and requirements. REPORTING POSITIONS: The Assistant Administrator is a direct report to the business owner and serves as the company assistant administrator. The Assistant Administrator must complete all state mandated training required to perform assistant administrator duties. RESPONSIBILITIES AND TASKS: Client Care Coordination Coordinate and develop client care plans in accordance with client needs, desired family and/or responsible party requirements, and state and federal regulations. Document all client care plans, interactions, schedules, and plan changes using the ClearCare all-in-one home care platform (also known as WellSky). Perform immediate follow-up and assessment of all client lead prospects received by lead generation sites, company website contact forms, word-of-mouth, and direct contacts. Perform client prospect in-home initial assessments and home safety assessments to determine suitability of client for our program, and to close favorable prospects for admission to our program. Perform periodic check-ins, inspections, and visits to client homes to ensure best-in-quality services and to generate quality improvements for the program at large. Investigate all client complaints following the company’s process and state reporting requirements for fielding, documenting, and reporting all complaints and suspected cases of Abuse, Negligence, and Exploitation (ANE). Follow all systems and procedures to assure the customer's goals and needs and the company's strategic objectives, financial goals, and standards are met or exceeded. Caregiver Recruiting, Hiring, Scheduling, and Retention Coordinate and negotiate caregiver coverage for all scheduled client visits using the ClearCare platform, including last minute coverage for clients whose scheduled caregiver is unavailable for any reason. Be prepared to personally fill last minute shifts to prevent loss of company revenue. Monitor the weekly client schedule to ensure all care shifts are assigned a minimum of one week prior to execution. Coordinate and report weekly caregiver coverage plan and any changes to the company scheduling manager. Ensure the weekly schedule is complete with all shifts covered no later than noon each Friday for the following week. Perform continuous recruiting of caregiver candidates and applicants. Screen, interview, hire, and on-board qualified applicants for admission to the program. Monitor caregiver performance and perform caregiver performance assessments as needed, or at least annually. Develop, monitor, and perform caregiver training plans and continuing education, including tracking of completing required learning management system assigned classes. Marketing and Sales Conduct door-to-door marketing and promotion of the company’s services to relevant stakeholders to ensure continuous business development and growth. Remain knowledgeable of company services, rates, and programs and be willing to negotiate agreements to gain clientele while remaining within acceptable profit margins. Participate in various expos, conferences, meetings, community events, lunch and learns, and other venues, as assigned, to promote and market our agency to potential clients and caregivers. Provide feedback and updates on social media, website, blogs, and other online activity to assist in improving our online presence and standing. Recommend ideas, products, programs, services, etc., to enable the company to achieve sales goals consistent with and focused on the company's overall Strategic Objectives and growth. Recommend ideas, products, programs, services, etc., that can reduce costs and/or increase revenue. Assist with developing, reviewing, and maintaining company business plan documents such as an annual In-service Orientation Plan, the Operations & Procedures Manual, the company policy manual, the employee handbook, and a Grass Roots Marketing Manual for SHS. Daily Business Operations Follow all systems and procedures required to assure the Owner’s goals and needs and the company’s strategic objectives, financial goals, and standards are met or exceeded. Perform daily, weekly, semi-monthly, and monthly tasks required to ensure accurate scheduling, billing, invoicing, and reporting, GENERAL STANDARDS: 1. Work all hours required to meet the needs of our clients, caregivers, and the agency. The Care Coordinator is a full-time position. 2. Successfully pass a criminal background check, nurse aide registry check, and employee misconduct check. Possess and maintain a clean driving record with no less than 2 misdemeanor driving convictions within the last 3 years, and no felony driving convictions. 3. Complete all WellSky and CareAcademy training courses within 30 days of hire to ensure thorough understanding of the agency’s resource platform and learning management system. 4. Perform all work and comply with all policies, procedures, standards, and rules of conduct as described in the SHS Employee Handbook, the company policy and procedures manual, and the company operations manual. Recommend changes to these manuals as required. 5. Return all telephone calls and emails, both internal and external, within two hours whenever possible and within one business day at the latest. 6. Report working dressed correctly following the standards for appearance and grooming established for the position and communicated by SHS management.
