IP Practice Coordinator
Overview
As IP Practice Coordinator, you enable the Intellectual Property Practice Group to run smoothly and deliver high-quality service. You will support daily operations, document management, billing, and internal communications, coordinating with attorneys, paralegals, and admin teams. You’ll help maintain efficient workflows and uphold professional standards. This role offers exposure to cross-functional collaboration in a global firm with a reputation for integrity and client service.

ResponsibilitiesProvide comprehensive administrative support to the Intellectual Property Practice GroupManage mail flow, scanning, and courier-ready packagesDraft and send routine communicationsOrganize and maintain documents in the firm’s document management system (e.g. iManage)Open and update matters, perform conflict checksPrepare engagement letters and assist with audit lettersMaintain calendars and coordinate meetings, conferences, and logisticsArrange domestic and international travel for practitionersAssist with printing, compiling, and distributing legal documentsSupport billing processes including time entry, pre-bill prep, and client billing coordinationProcess expense reimbursements and vendor invoices (e.g. Chrome River)Obtain timekeeper approvals and coordinate payment of foreign associate invoicesSupport departmental projects and ad-hoc data audits
Key requirementsBachelor’s degree or minimum of one year administrative/legal support experienceStrong interpersonal, organizational, and communication skillsSelf-motivated with initiativeUnderstanding of legal ethics and professional responsibilityExcellent analytical and problem-solving abilitiesAttention to detail and accuracyAbility to handle confidential information with sound judgmentCollaborative team playerProficient in MS Office (Excel, Word, etc.)Knowledge of timekeeping and billing processes preferredStrong interpersonal skillsExcellent written and verbal communicationSelf-motivated and proactiveMS Office (Excel, Word)Document management systems (e.g. iManage)Billing platforms (IntApp Time, Chrome River)
