Accounting Specialist

Max Distributing is seeking a highly organized and compliance-focused Accounting Specialist to support our growing national distribution business. This role focuses on traditional accounts receivable responsibilities but also serves as a backup for other accounting department functions- making it ideal for someone who is highly detail-oriented and wanting to grow their accounting skillset.Key Responsibilities:Accounts Receivable (primary focus)Invoicing & Order ProcessingRelease sales orders from credit hold in the accounting system.Update freight tracking to customer orders including PODHandle collecting for major retail partnersPrepare and distribute monthly customer statementsSupport clean revenue reporting through timely and accurate billing processes.EDI Processing & Customer ReportingGenerate EDI transmissions for key customers.Prepare weekly Sales Reports to support sales.Payments, Cash Application & ReconciliationRun weekly ACH batches.Enter and post customer deposits as needed.Accurately apply remittances and resolve discrepancies.Assist with AR aging reviews and account reconciliation.Other Accounting Department tasks as needed:Assist with Regulatory Compliance & Tax ReportingAssist in preparing monthly Excise Tax Reports for multiple states, ensuring compliance with all tobacco, vapor, alternative-product, and related sales-tax regulations.Complete all PACT Act Monthly Reports, ensuring accuracy in shipment data, customer details, and product categories.Conduct excise tax and sales tax research to ensure correct product classifications, filings, and registrations.Maintain audit-ready records and track regulatory updates affecting reporting deadlines and requirements.Accounts PayableAssist with entering supplier invoicesQualifications2–5 years of experience in accounting, AR, data entry, customer serviceAdvanced attention to detail and accuracy in data handling.Strong Excel skills (pivot tables, VLOOKUP/SUMIF preferred).Ability to manage recurring deadlines with minimal supervision.Strong communication skills and professionalism.Preferred: Experience with sales tax reporting, excise tax reporting, and tax research.Strong familiarity with regulatory reporting cycles and requirements.Experience with PACT Act reporting or regulated-product categories is a plus.What We OfferCompetitive compensationHealth, dental, and vision insuranceShort-Term DisabilityLong-Term Disability401(k) with employer contributionPaid time off and holidaysStable, supportive, and growth-oriented work environmentJob Posted by ApplicantPro
