Executive Assistant
JOB PURPOSE:
Provides a high-level administrative support to the CEO and other Senior Executive staff. Coordinates multiple projects and tasks as assigned.
DESCRIPTION OF ESSENTIAL DUTIES:
Provides a high-level administrative support to the CEO and other Senior Executive level staff.
Performs clerical and administrative duties including, but not limited to, drafting letters, memos, reports, and other documentation.
Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients.
Prepare internal and external corporate communications for team members and industry partners.
Receives incoming communication or memos on behalf of the executive staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
Schedule meetings and manage CEO calendar.
Manage and schedule executive team travel itineraries.
Maintain an organized filing system of electronic documents.
Uphold a strict level of confidentiality.
Develop and sustain a level of professionalism among staff and clientele.
Plan and coordinate special event meetings (ex: off-site meetings and training events) and make travel arrangements for Senior Executive Leaders.
Plan and manage internal and external project communications, ensuring effective exchange of project information and deliverables.
Facilitate daily calendars of the CEO & other Senior Executive staff.
Represent the CEO, as needed, in internal and external meetings and functions. To include: coordinating the schedules of internal and external meeting participants, gathering background information for the meeting, and taking notes.
Develop presentations and other electronic documentation using Microsoft PowerPoint and Publisher.
Other duties as assigned or directed.
QUALIFICATION REQUIREMENTS: (To perform this job successfully, and individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required).
Education: A minimum of a 2-year Associate’s degree required. Bachelor’s degree preferred.
Experience: Minimum of 8-10 years related administrative experience required
Extremely proficient with Microsoft Office suite, including Excel and PowerPoint, required. Ability to learn new and updated software, as needed.
Ability to work independently, with minimal supervision

Some travel may be required.
