JOB DESCRIPTION
SERVICE ADMINISTRATOR - SEATTLE, WA(Potentially relocating our offices to Kent, WA)
POSITION SUMMARY: Looking for a well-motivated, innovative, positive person to join our team. Responsible for the service and maintenance of customers, maintaining proper inventory, and acquiring necessary permits for projects. This person is responsible for working professionally with internal and external colleagues in a way that best promotes the Administration, Operations & Sales of the Service Department.

Principal Duties and Responsibilities:
Promptly respond to customers in a professional and courteous manner on the telephone and by email.
Document customer’s concerns/requests and refer to service history to accurately identify and verify customer’s service needs utilizing Foundation software.
Schedule service appointments for service techs by creating dispatches in Foundation. Properly document all recommendations or conversations in customer file. Inform customers of any services the service techs recommend.
Schedule sales appointments for the sales team. Document all contact information, site information, etc.
Promote the sales of appropriate services, parts, and accessories by demonstrating an understanding of the product and associated service requirements.
Follow proper procedures for invoicing down payments, progress billings and final billings.
Inventory assistance - Track any returns and warranty parts. Track PO’s and follow up with vendors for materials waiting on receipt.
Become familiar with products and services we install.
Familiarity with contracts that may be issued on new sales – requesting COI’s, creating jobs in company software, etc.

KNOWLEDGE / SKILLS / EXPERIENCE:
Administration/ Accounts Receivable knowledge
Able to multitask in fast paced environment
Proficient at Microsoft Office, ability to learn new software
Communicate effectively through written and verbal means
Produce a “Quality” product while engaging staff
Enforce safety rules and regulations
Willing to work a flexible schedule, including after hours
Knowledge of limited energy and high voltage desired.
