Administrative Assistant
Administrative Support PositionJob duties may include, but are not limited to:
Providing secretarial and administrative support to management and other staff
Completing the schedule for all clients, including ABA line therapy, ABA supervision, ABA family guidance, OT services, and SLP services (as applicable)
Creating and maintaining staff schedules, including checking schedules in Measure for accuracy and approving for payroll
Answering general phone inquiries using a professional and courteous manner
Directing phone inquiries to the appropriate staff members
Communicating with client's families sensitive matters such as session cancellations, client-related incidents, client illness, and other relevant issues
Assisting families and staff with MeasurePM, including helping collect guardian signatures
Greeting patients/suppliers/visitors to the organization in a professional and friendly manner
Sorting incoming mail, faxes, and courier deliveries for distribution
Preparing and sending outgoing faxes, mail, and courier parcels
Conducting basic cleaning duties, including disinfecting and organizing, vacuuming, wiping down commonly used surfaces, and taking care of emergency cleaning situations
Receiving, storing, and organizing office supplies ensuring that basic supplies are always available
Organizing clinic storage cabinets and rooms
Coordinating the maintenance of office equipment and furniture
Scanning, uploading, and filing confidential client and staff documents while maintaining their privacy
Being an exemplary role model for Pathways policies, procedures, and values
Maintaining appropriate and professional boundaries with client families in the center and on social media to avoid dual relationships or other unethical situations
Other intentional duties as assigned
Schedule:
Monday through Friday from 7:00 AM - 3:30 PM
