Client Services Coordinator
O'Hagan Meyer seeks a full-time Client Services Coordinator (CSC) to support a fast‑paced law office. The ideal candidate is outgoing, personable, and resourceful. As the first point of contact for clients, visitors, and vendors, the CSC delivers a welcoming, professional, and efficient experience while ensuring smooth day-to-day operations of reception and client-facing areas while supporting core office services. Key ResponsibilitiesClient Experience & Front DeskGreet clients and visitors with professionalism; manage check-in and notify attorneys/staffAnswer and route incoming calls; take accurate messagesMaintain reception area, conference rooms, and client-facing spaces to firm standardsCoordinate conference room scheduling, including setup, catering, and technology needsProvide hospitality services (beverages, catering coordination, special requests)Office Services & CoordinationManage incoming/outgoing mail, courier services, and deliveriesMaintain office and kitchen supplies; monitor inventory and restock as neededSupport setup and cleanliness of shared spaces (conference rooms, copy areas, break rooms)Assist with vendor coordination and building maintenance requestsCoordinate Wednesday luncheons, birthday dessert celebrations, and other in-office initiativesAdministrative SupportProvide light administrative support (scanning, filing, document handling)Assist with scheduling shared resources and maintaining conference room calendarsAssist with office weekly inventories and supply ordersSupport onboarding logistics (workspace setup, supplies, coordination)Other projects and duties as assignedProfessional StandardsMaintain confidentiality in all client and firm mattersUphold a high level of professionalism in communication and appearanceIdentify opportunities to improve client experience and office efficiencyRequirementsQualifications1-3 years of experience in reception, hospitality, or administrative support (law firm or professional services preferred)Strong interpersonal and communication skillsExcellent organizational skills and attention to detailAbility to multitask and prioritize in a fast-paced environmentProficiency in Microsoft Office (Outlook, Word, Excel)Physical Requirements:· Prolonged periods of sitting at a desk and working on a computer· Must be able to lift up to 25 pounds at times O'Hagan Meyer is an Equal Opportunity Employer.
