Elements Contracting is a commercial flooring company serving PA, NJ, NY. We are looking for a highly organized, dependable Office Manager / Project Coordinator to keep our office running smoothly and support flooring projects from award through completion.
This position is ideal for someone who can manage competing priorities, communicate confidently with customers and field teams, and stay ahead of deadlines in a fast-paced construction environment.
Key Responsibilities
Manage day-to-day office operations, incoming calls, email, filing, supplies, and general administrative needs.
Set up new projects and maintain accurate digital and paper project files.
Review contracts, purchase orders, work orders, plans, specifications, and project documentation.
Coordinate project schedules with customers, general contractors, installers, vendors, and internal team members.
Track submittals, product approvals, material orders, deliveries, change orders, closeout documents, and project deadlines.
Prepare proposals, work orders, purchase orders, invoices, and other project-related documents.
Order flooring materials and confirm quantities, lead times, delivery dates, and job-site requirements.
Communicate schedule changes, material delays, and job-site issues promptly to the appropriate parties.
Assist with installer scheduling, labor coordination, and job-site documentation.
Track project costs, billing status, and outstanding paperwork.
Maintain certificates of insurance, vendor records, licenses, warranties, and safety documentation.
Support accounts payable, accounts receivable, payroll, or timekeeping as needed.
Help resolve customer and project concerns professionally and efficiently.
Qualifications
At least 2 years of office administration, project coordination, or construction-related experience preferred.
Commercial flooring, construction, subcontractor, or general contractor experience is strongly preferred.
Excellent organization, time-management, and follow-through skills.
Strong written and verbal communication skills.
Ability to prioritize multiple active projects and meet deadlines with minimal supervision.
High attention to detail, especially when working with quantities, schedules, pricing, and contracts.
Proficiency with Microsoft Office, especially Outlook, Word, and Excel.
Experience with project-management, estimating, accounting, or construction software is a plus.
Ability to read plans, specifications, and finish schedules is a plus.
Professional, team-oriented attitude and a willingness to step in wherever needed.
