Once you apply, we'll reach out to schedule a time to talk more about this opportunity.Pay Range: $85,000 - $95,000 / yearSchedule: Full-Time | Monday - FridayLocation: Portland, ORIndustry: Commercial Graphics / Fleet Branding & InstallationDescriptionWe are seeking a highly organized and process-driven Graphics Operations Manager to oversee the full lifecycle of graphics jobs: from intake through design, production, installation, and final billing.This role is responsible for ensuring that all graphics projects move efficiently and accurately through each stage of the workflow, while coordinating closely with Sales, Scheduling, Production, and Installation teams. The ideal candidate has strong operational experience managing complex workflows and understands how to keep projects moving with minimal errors, delays, or rework.You will play a key role in maintaining process integrity within the company system and ensuring a smooth flow from customer request → approved design → production → installation → invoicing.Key ResponsibilitiesManage Graphics Job FlowOversee the full lifecycle of graphics jobs from intake through completionMonitor job progress daily to ensure work is moving through each stage efficientlyMaintain accurate job statuses and updates within GerminateIdentify and resolve workflow bottlenecks in design, production, or installationEnsure production and installation teams have complete job information before work beginsReduce rework by confirming jobs are properly scoped and approved prior to productionImprove installation efficiency and labor-to-billing performanceEnsure Accurate Job IntakeVerify vehicle identification (VIN and unit type) for all jobsEnsure accurate measurements and job specifications are collectedConfirm high-quality photos and documentation when units are off-siteCollect all required customer artwork, vector files, and branding assetsEnsure scope of work is clearly documented in GerminatePrevent incomplete or inaccurate jobs from entering productionManage the Design ProcessEnsure design work progresses efficiently toward customer approvalConfirm required assets and vector files are collected before design beginsEnsure design deposits are collected when requiredManage design revisions to avoid excessive revision cyclesEnsure approvals are properly documented in GerminateRelease approved designs to production without delayEstimating & Revenue CaptureCreate accurate job estimates using internal Graphics Calculator toolsUpload estimates and documentation into job recordsIdentify scope changes and ensure proper supplement documentationCapture additional billable work including:Vehicle preparation or washingDamaged or incorrect customer-supplied materialsAdditional design work or asset recreationInstallation-related scope changesEnsure invoices reflect the full scope of work completedCoordinate Scheduling & ProductionCollaborate daily with Scheduling to align graphics work with shop capacityUnderstand production and installation constraints when scheduling jobsEnsure design completion aligns with scheduled production timelinesCommunicate proactively when jobs are at risk of delaysPrevent unrealistic expedite requests that disrupt workflowCoordinate graphics work that overlaps with other departmentsSchedule on-site graphics work when requiredManage Graphics Production WorkflowOversee printing operations and production schedulingEnsure quality control checks are completed and documentedConfirm completed graphics are properly packaged into installation kitsEnsure installation kits include:Graphics materialsJob documentationSchematics and drawingsEnsure kits are staged and ready for installation teamsMaintain Operational StandardsMaintain a clean, organized production environment using 5S principlesEnsure printers and equipment are properly maintained and servicedMonitor material usage and minimize waste and inefficienciesMaintain spec sheets for recurring fleet and commercial customersContinuously improve workflows, checklists, and operational processesQualifications & SkillsStrong experience in operations management, workflow coordination, or production managementProven ability to manage multi-stage job workflows from intake to completionStrong organizational skills and attention to detailAbility to coordinate across multiple departments and teamsExperience working with job tracking systems or production softwareStrong problem-solving skills and ability to identify workflow inefficienciesExcellent communication skills and ability to manage competing prioritiesPreferred BackgroundsGraphics, signage, or vehicle wrap industry experienceProduction or operations management in manufacturing or service environmentsExperience with print production, installation coordination, or design workflowsFamiliarity with fleet branding, vinyl graphics, or commercial installationsExperience using ERP or workflow systems (e.g., Germinate or similar platforms)Work EnvironmentOn-site position within a graphics
