Office Administrator
Summary:We're hiring an office administrator and transaction coordinator! We're Realty ONE Group Turn Key, a real estate brokerage with two locations in Gig Harbor and Tacoma, Washington.You are the welcoming face of the brokerage and the operational backbone behind it. Your role is responsible for keeping the office running, supporting agents, and maintaining a professional, organized, and polished environment for agents, clients, and vendors. This role requires a high level of independence and self-direction. You will be expected to manage your time, stay on task, and identify what needs attention without constant oversight.You will be trained and supported, but you must be able to apply what you learn and move work forward without waiting for step-by-step direction. A Washington real estate license is strongly preferred, and for the right candidate, this role can expand into transaction coordination and compliance support. You must be comfortable working across multiple systems, learning quickly, and executing accurately. Strong, real-world computer skills are required.Qualifications:High school diploma or equivalentWashington Real Estate license preferred. Transaction coordination experience a plusProficiency with Google Workspace and the ability to work across multiple platforms dailyExperience with real estate systems such as NWMLS, SkySlope, CRM platforms, or similarAbility to learn new systems quickly and apply them effectivelyStrong organization and time management with the ability to manage multiple deadlinesHigh attention to detail and accuracyClear, professional communication skillsAbility to work independently and follow through on assigned and self-directed tasksSelf-motivated with the ability to identify gaps and take initiativePrior administrative or office experience preferredKey Responsibilities:Office Operations and Front DeskServe as the primary point of contact for clients, agents, and vendors, providing a consistent and professional first impressionManage incoming calls, visitors, mail, and office logisticsMaintain a clean, organized, and professional office environmentAgent and Administrative SupportProvide direct administrative support to agents and brokerage leadershipSupport and execute onboarding, including system setup, documentation, and milestone trackingMaintain accurate internal records and ensure consistency across systemsOperations and OrganizationCoordinate internal logistics, scheduling, and office processesMaintain organization across systems, files, and shared resourcesEnsure consistency and follow-through across day-to-day operationsRecruiting and Growth SupportAssist with scheduling interviews, onboarding logistics, and maintaining applicant recordsMaintain recruiting records and internal rostersAdditional ResponsibilitiesPerform other administrative and operational tasks as needed to support the brokerageOptional Growth Opportunity: Transaction CoordinationFor candidates with a Washington real estate license and the appropriate skillset, this role may expand to include transaction coordination responsibilities. This can include managing transaction files, tracking deadlines, supporting compliance, and coordinating communication with agents, clients, escrow, and vendors.Work EnvironmentThis position is based in the Gig Harbor office, a smaller satellite location. While the physical office is typically quiet with limited walk-in traffic, the role supports the full brokerage and involves a steady flow of work, communication, and coordination. You will often be working independently and must be comfortable managing responsibilities without direct supervision while staying responsive to agents, clients, and leadership across the brokerage.Work Style ExpectationsYou are expected to manage your workload effectively, maintain accuracy, meet deadlines, and keep assigned tasks current within established systems and timelines. You should be proactive in identifying priorities and addressing tasks as they arise, rather than waiting for direction.
