This role is critical in ensuring seamless daily operations, enabling executives to remain focused, productive, and aligned on key priorities.ResponsibilitiesManage complex calendars, scheduling, and meeting coordination across multiple leaders and stakeholdersPrepare executives for meetings, including agendas, materials, and logisticsDraft, manage, and coordinate professional correspondence and communicationsMaintain organized electronic and physical filing systemsHandle confidential information with discretion and sound judgmentCoordinate internal and external meetings, including logistics and technology setupCapture and distribute meeting minutes; track and follow up on action itemsEnsure alignment and timely follow-through on key initiatives and deliverablesCoordinate domestic and international travel arrangementsManage expense reporting and ensure timely, accurate submission and processingPartner with accounting teams to support expense reconciliation and processingServe as the first point of contact for visitors, clients, and incoming communicationsMaintain a professional, organized, and welcoming office environmentManage conference rooms, visitor access, and front desk operationsOversee office supplies, vendor relationships, and general workplace organizationPlan and coordinate internal meetings, events, and employee engagement initiativesSupport company culture programs, recognition efforts, and leadership eventsAssist with company-wide and client-facing eventsProvide support on cross-functional projects, research, and strategic initiativesMaintain SOPs, process documentation, and internal communication toolsProvide administrative support to departments such as HR, Accounting, and Operations as neededManage mail, shipments, and courier servicesCoordinate office services, meals, and supply ordersSupport document processing, scanning, and recordkeepingPerform additional administrative duties as needed to support leadership and business operationsQualifications5+ years of experience supporting senior executives or leadership teamsStrong organizational, prioritization, and time management skillsExceptional attention to detail and accuracyExcellent written and verbal communication skillsProven ability to handle confidential information with discretionAbility to manage multiple priorities in a fast-paced environmentProactive, resourceful, and solution-oriented mindsetAbility to work both independently and collaborativelyAdvanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)Experience with expense management systems (e.g., Concur, Ramp)Familiarity with ERP, CRM, and document management systemsAbility to quickly learn and adapt to new tools and technologies
