About the Opportunity:The Admissions Admin Assistant supports the Admissions team, which serves as the initial point of contact for prospective and returning clients, families, and referral sources. This role ensures the efficient administrative processing of incoming client information while facilitating accurate chart setup and referral coordination. The position contributes to a smooth and organized pre-admission process, allowing clients and families to focus on recovery.3. Responsibilities:• Manage and monitor the shared Admissions email inbox to ensure timely routing and responses to inquiries and referrals.• Forward communications, including emails, voicemails, and webform submissions, to the appropriate team members.• Process inbound communications, including general admissions inquiries and Contact Us webforms.• Enter referrals received via email and fax into Salesforce accurately and promptly.• Manage the Admissions fax line and forward documentation to the appropriate Admissions Coordinator.• Create client charts in the Avatar NX electronic health record system and notify relevant departments for follow-up.• Enter client information into the Census Web App for treatment candidates.• Create myHealthPointe accounts for admitting clients.• Assign new leads and internal referrals to team members based on established workflows and coverage needs.• Take live phone messages as needed and ensure prompt communication with appropriate staff.• Schedule therapeutic mental health appointments using Avatar NX and Secure Video platforms.• Maintain accurate data entry and documentation across multiple systems.• Support Admissions operations through coordination, communication, and administrative assistance.• Adapt responsibilities to meet team demands, including making outbound calls to support team goals.4. Requirements:• High school diploma or equivalent required.• Bachelor’s degree in human services or a related field preferred, or equivalent experience.• Minimum of 2 years of healthcare experience preferred.• Minimum of 2 years of direct client service experience preferred.• Experience in mental health care and eating disorder treatment preferred.• Familiarity with insurance companies and healthcare terminology preferred.5. Pay Range and Compensation Package:• Salary range: $37,000–$42,000 annually.• Final compensation will be determined based on qualifications and experience.6.
