Client Services Administrator
Description:The Client Services Administrator supports the daily operations of the Service Department by coordinating communication, scheduling, documentation, and administrative tasks. This role helps ensure service requests are handled efficiently, technicians are properly supported, and clients receive a high level of communication and service. General Purpose:This position serves as a central communication and organizational resource for clients, technicians, vendors, and internal team members, helping ensure service operations run efficiently, documentation is accurate, and client communication is timely and professional.Main Job Tasks and ResponsibilitiesCommunicate with clients regarding scheduling, updates, and follow-upCreate and manage service tickets and work ordersAnswer and direct incoming service calls and emailsSchedule service appointments and coordinate technician calendarsManage department invoices and Accounts ReceivableCoordinate with technicians, project managers, and vendors as neededMaintain accurate records within company software systemsAssist with tracking parts, purchase orders, and product returnsSupport warranty claims and manufacturer communicationsHelp ensure service documentation and project files are organized and up to dateAssist with maintaining department processes, checklists, and reportingDirectly support the Client Service ManagerSkills and Abilities RequiredStrong organizational and communication skillsProfessional and customer-service-oriented demeanorAbility to multitask and prioritize in a fast-paced environmentAttention to detail and accuracyProficiency with Microsoft Office and general computer softwareExperience with scheduling, coordination, basic accounting, or administrative support preferredExperience in construction, service, or AV/home technology industries is a plusCore CompetenciesProfessional communicationTime management and organizationProblem-solving and follow-throughTeam collaborationReliability and accountabilityPositive attitude and willingness to assist others
