SummaryReporting to the Group President, the Executive Assistant is responsible for providing administrative support to the Group President and members of the leadership team with scheduling, office procedures, and administrative duties.Direct ReportsN/AKey Responsibilities & DutiesManages all scheduling and coordinates company related travel as applicable for the Group PresidentOrganizes and prepares for meetings including the preparation of data and necessary documents.Secures all corresponding logistics as neededActively communicates all necessary company information and messages as needed to the Group PresidentOrganizes high volume email inboxes, prioritizing and responding to emails when neededPrepares expense reports for submission within the required timelineOrders and organizes office supplies to ensure appropriate levels are maintainedEffectively liaises with the Facilities Manager to maintain the office and ensures that all meeting rooms are cleaned and stocked on a daily basisProvides support to office visitors as needed while maintaining all required safety and security protocolsCoordinates with Human Resources, and various other departments as needed to foster the company culturePerforms other duties outside their scope of work as assigned and requiredQualifications & CompentenciesHigh School Diploma or General Education Degree (GED)Minimum of 5 years of office administrator experience; Certification in Business Administration preferredStrong Microsoft Office skills including PowerPoint, Excel and WordPossesses excellent customer service skills and effective verbal and written communication skillsIs highly self-motivated with the ability to organize tasks,work under pressure and meet multiple and competing deadlinesHandles sensitive information in a confidential and discreet mannerWork Environment & Physical RequirementsThis role is conducted in an office environment requiring some or all the following:Prolonged periods of sitting at a desk or workstationRepetitive hand and arm movements Occasional lifting up to 20lbs may be requiredFrequent reaching, grasping, pushing or pulling, bending or twisting motionsWalking short distances and standing for meetings or other office activities
