Intake Manager (Legal Operations)Los Angeles, CA$100,000 – $120,000 | Non-ExemptA confidential professional services organization is seeking an experienced Intake Manager to oversee new business intake and related operational processes. This individual will act as a key liaison across multiple internal functions, ensuring the smooth onboarding of new clients and matters while maintaining compliance with internal policies and external requirements.Work Arrangement1 day per week onsite after initial fully onsite training periodHybrid/remote flexibility is subject to business needs and may be adjustedPosition OverviewThis role manages the full lifecycle of new client and matter intake while also overseeing timekeeper data and setup. The position partners closely with teams responsible for conflicts, billing, and finance, and plays a critical role in ensuring accurate and efficient matter opening.This role includes oversight of a small team (approximately 5–7 direct reports).Key ResponsibilitiesNew Business IntakeOversee end-to-end intake process for new clients and mattersReview and process new business requests, ensuring completeness and accuracyCoordinate with internal review functions to confirm clearance prior to matter openingEnsure compliance with internal policies, engagement requirements, and onboarding documentationServe as a primary point of contact for intake-related inquiriesResolve discrepancies and escalate issues as neededIdentify opportunities to improve workflows and streamline processesTimekeeper & Data ManagementOversee setup, maintenance, and updates of timekeeper records within internal systemsEnsure accuracy of rates, titles, and related data aligned with client agreementsManage updates related to compensation structures, role changes, and credentialingCoordinate with cross-functional teams to maintain accurate and timely recordsSupport requirements related to client billing guidelines and approvalsSystems & ReportingAct as a key user of internal systems related to intake and billingGenerate and analyze reports related to onboarding activity, data integrity, and operational metricsSupport ongoing system improvements and data quality initiativesQualificationsExperience4–6+ years of experience in a professional services or legal environmentBackground in intake, conflicts, billing, or legal operations requiredPrior experience in a supervisory or team lead capacity preferredTechnical SkillsExperience with practice management or billing systems (e.g., 3E, Aderant, or similar)Familiarity with e-billing platforms is a plusStrong Excel and Microsoft Office skillsCore CompetenciesStrong attention to detail and data accuracyAbility to manage multiple priorities in a deadline-driven environmentExcellent communication and stakeholder management skillsSound judgment and ability to handle sensitive/confidential informationCollaborative mindset with cross-functional teams
