Central Office Assistant and Support for Asst. Supt.

Position Summary Five Town CSD and MSAD 28 are seeking an individual to fill the Administrative Assistant role in the Central Office. This individual will support general administrative tasks within the Central Office, including answering phones, greeting visitors, sorting mail, and managing office supplies. The position serves as the point person for processing volunteer applications and managing student work permits. This position will also provide administrative assistance to the Business Manager and Assistant Superintendent directly. The successful candidate will be detail oriented, upbeat, and technology savvy. This position is a 230 day work year with an adaptable summer work schedule. Key Responsibilities ● Answer phones, assists the public, and directs calls to the appropriate office. ● Sorts, distributes, and handles US postal and interoffice mail. ● Orders, receives, accounts for, and distributes office supplies. ● Manages the scheduling of the Central Office conference rooms. ● Manages school volunteer programs by processing applications, conducting background checks, establishing an annual master list of volunteers, maintaining Volunteer handbooks, protocols, relevant binders, and databases. ● Maintains and troubleshoots office equipment issues and calls for service as needed. ● Maintains professional appearance of office spaces, conference rooms, eatery, storage, and records areas. ● Processes Work Permits. ● Supports Assistant Superintendent in updating Central Office emergency manual, policies, and distribution of materials. ● Coordinates recognition of birthdays, milestones, and other special events within the Central Office. ● Provide assistance to the Business Manager through support of the annual budget process, invoice processing, deposits, and preparation for Finance Committee meetings. ● Supports the Assistant Superintendent with scheduling, workload management, federal grant management, professional development, and preparation for Curriculum Committee meetings. Qualifications/Skills ● Excellent communication skills. ● Strong computer skills. ● Proficiency with Google Suite. ● Friendly, positive, and outgoing personality. ● Experience dealing with students, parents, and the community-at-large is preferred.
