Administrative Assistant Location Hialeah, FLType of Work In OfficeSchedule Full-time | Monday to FridayType of Contract Direct Hire/PermanentPay Rate $50,000 - 55,000DescriptionWe are seeking a highly organized and detail-oriented Administrative Assistant to support executive leadership within a fast-paced food manufacturing environment. This role combines executive support, operations coordination, and light accounting responsibilities. The ideal candidate will be comfortable working cross-functionally with production, warehouse, and accounting teams while maintaining strong communication with external clients.Responsibilities and DutiesProvide administrative support to the President and management team, including drafting emails, memos, and internal/external communicationsManage and prioritize the executive's calendar, scheduling meetings and handling sensitive matters with discretionServe as the main point of contact for client communicationsMaintain accurate records related to production, products, and testingSupport production planning activities, including batch scheduling and raw material reporting per purchase ordersAnalyze and track production metrics such as weights, yields, and efficiencyAssist with closing production cycles, including output analysis, packing lists, and final invoicing to clientsGenerate financial and operational reports using QuickBooksCoordinate activities between production, warehouse, and accounting teamsSupport procurement analysis and purchasing planningAssist with basic HR functions, including workforce planning and coordinationPerform additional administrative and operational duties as neededRequirementsExperience in administrative support, operations, or similar rolesStrong knowledge of QuickBooks and basic accounting functions is a mustBilingual (English & Spanish) is a mustAdvanced Microsoft Excel skills is a mustUnderstanding of manufacturing or food production environments is preferredAbility to manage multiple priorities and meet deadlines in a fast-paced environmentStrong organizational, analytical, and problem-solving skillsExcellent communication and interpersonal skillsSkillsAttention to detail and high level of accuracyStrong time management and multitasking abilitiesTeam-oriented with a proactive mindsetAbility to work independently and take initiativeStrong written and verbal communication skillsAt ttg, “We believe in making a difference One Person at a Time,” ttg OPT.
