Ullico Inc., headquartered in Washington, D.C., is actively recruiting an Executive Assistant for our President, Ullico Casualty Group. We are seeking a highly organized and proactive Executive Assistant to provide high level administrative support to senior leadership. This role requires exceptional attention to detail and the ability to manage multiple priorities. The ideal candidate is a trusted partner who exercises sound judgement, maintains confidentiality and helps ensure day-to-day operations.
Job Duties:
Provides administrative support to include maintaining weekly reports on division senior and staff calendars, scheduling key meetings and coordinating client visits for management that include various members of the division’s senior staff.
Acts as liaison on special programs and projects which includes communicating with program/project contacts. Assists in preparation and distribution of materials and reviews key material and provide recommendations to management.
Manages and supports staff meetings. Includes coordinating room locations/reservations, travel, hotel, food planning and presentations.
Compiles data, statistics and other information and materials for meetings, presentations, etc. Coordinates reports, forms, documents, mailings, etc. Composes correspondence for signature, prepares presentations, etc.
Prepares invoices for payment and process check requests for supported staff.
Handles administrative duties to include ordering supplies, dealing with vendors, preparing copies, faxes, documents and packets. Completes expense reports and other administrative tasks as needed to support the department efforts.
Communicates with business units and clients as necessary and responds to various customer inquiries and requests.
Perform any other relevant duties as assigned.
Minimum Qualifications:
Associate’s degree
Minimum of 3 to 5 years of administrative experience.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Strong organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines.
Excellent written and verbal communication skills. Ability to work independently and exercise sound judgment.
Professional demeanor with strong interpersonal skills and a customer-service mindset.
Experience with calendar management, meeting coordination, and document preparation.
Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
Salary Range: $73,000 - $80,000 (depending on relevant experience, skills, and credentials). This position is eligible to participate in Ullico Inc.’s (“Ullico”) annual incentive compensation program. An incentive award is contingent upon Ullico meeting financial goals set by the Ullico Board of Directors and your individual performance. The elements of the program, including eligibility, the range of potential incentive compensation, and the factors that determine the payment, will be shared with you after you become employed.
