This is a critical role that directly impacts customer satisfaction, technician efficiency, and company cash flow.The ideal candidate is proactive, detail-oriented, and understands that timely billing, collections, and communication keep a business alive. This is not an entry-level office role we're looking for someone who can take ownership, manage moving parts, and help the business run smoothly and profitably.What You'll DoAnswer incoming calls and serve as the primary point of contact for customersSchedule jobs and coordinate daily logistics with field techniciansCommunicate clearly with technicians to ensure jobs are staffed, started on time, and completed efficientlyFollow up with customers after service to ensure satisfaction and encourage five-star reviewsPrepare, send, and track all invoices in a timely mannerManage collections and follow up on outstanding balances professionally and consistentlyMaintain accurate records of billables, payments, and job documentationMonitor cash flow and understand how daily office operations impact the financial health of the businessUse QuickBooks daily for invoicing, payments, reporting, and reconciliationWear multiple hats and assist wherever needed to keep operations running smoothly What We're Looking ForStrong understanding of business operations, billing, and cash flow managementQuickBooks certified (required) with real, hands-on experience — not just basic familiarityConfident managing invoicing, collections, and financial recordsExcellent communication skills with customers, technicians, and leadershipHighly organized with strong follow through nothing slips through the cracksCustomer-focused mindset with the ability to handle issues calmly and professionallyComfortable taking ownership and making decisions in a fast-paced environmentReliable, trustworthy, and able to handle sensitive financial information QualificationsPrevious experience as an Office Manager, Operations Manager, or similar roleQuickBooks Certification requiredExperience with billing, collections, and customer follow-upStrong computer skills and attention to detailHigh school diploma or GED (additional education a plus) Why This Role Is DifferentThis position is for someone who wants to be the go to person the one who keeps the office running, the money flowing, and the customers happy.
