Office Administrator
OFFICE ADMINISTRATOR
POSITION SUMMARY
The Office Administrator will report directly to the Plant Manager ensuring daily operations run smoothly through administrative, clerical, and logistical support for the administrative office and warehouse.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Exhibit a high level of professionalism in verbal and written communication with customers and visitors
Answers the phone and directs calls to the appropriate individuals
Manage paper files for items such as equipment titles and various reports
Manage relationships with vendors and service providers
Ensure the office is well-maintained, organized, and secure
Scan BOLs and help file AP invoices and other paper documents
Organize luncheons, meetings, catered events, and other activities as required
Organize company functions, such as picnics, retirement gatherings, and Christmas parties
Order and organize the mail room, including keeping all office supplies in stock
Gather the company mail from a post office box daily
Complete a Fire Extinguisher report monthly
Distribute and reconcile the petty cash
Collect money from all the company vending machines
Open boxes and verify items to packing lists
Use Ellipse/ Fulcrum software to receive items
MINIMUM QUALIFICATIONS
High school diploma or GED equivalent
Valid Driver’s License
Basic knowledge of accounting principles
SPECIFIC KNOWLEDGE, SKILLS & ABILITIES
Fundamental understanding of logistics and general business principles
Effective written and verbal communication skills with attention to detail
Strong proficiency with Microsoft Office, including Excel, PowerPoint
Ability to organize and collaborate across multiple functional teams
High attention to detail, well organized, and good independent judgment
Strong financial aptitude and focus on bottom-line results
Ability to work both independently and as part of the larger team
PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT
Work is typically performed indoors in an office environment. The noise level in the work environment is usually quiet. Incumbents must be able to perform work that requires typing, reading, communicating, sitting for prolonged periods of time, standing, and walking. The physical demands and work environment described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee:
Is regularly required to use hands to type, touch, handle, or feel
Is frequently required to stand and reach with hands and arms
Is occasionally required to walk and climb or balance
May occasionally be required to lift and/or move up to 15 pounds
Will, at times, be exposed to loud noises
In the event that the incumbent visits an operations worksite, personal protective equipment including but not limited to head protection, hearing protection, safety glasses, safety shoes, high visibility clothing, and flame-resistant clothing may be required.
SCHEDULE
40 hours/ week, Monday through Friday
